Alumnae Relations Associate Director

General Summary:

Plays a key role in developing and executing programming (events, meetings, trainings) for and related marketing and communications to alumnae. The work is done as part of the office of alumnae relations team, within the guidelines of federal, state, and local laws, and office, division and college policies and procedures. This position reports to and regularly consults with the senior director of alumnae relations, and works closely with alumnae, the assistant director of alumnae relations, divisional colleagues, faculty, staff, students, professionals at other colleges, and members of the community to support alumnae in enhancing their relationship with the college and with one another.

Essential Job Functions:

  1. This position is the primary staff person responsible for planning and implementing Alumnae Weekend, including event planning and execution, event content development, volunteer recruitment and development and data management, communications and all documentation in support of the weekend. The work involves a high level of consultation and collaboration with the Sr. Director, alumnae leaders, campus partners and volunteers.
  2. Acts as the staff liaison for reunion classes, responsible for all Reunion Boot Camp trainings and on-going communication with reunion class officers.
  3. Works collaboratively with Sr. Director and alumnae leadership on volunteer development for non-reunion class officers.
  4. In consultation with the Sr. Director, this position actively plans and implements chapter/regional programs. Manages volunteer recruitment, development and data management.
  5. Responsible for logistics for fall regional /chapter programming, to include kick-off events and fall "National Grassroots Campaign."
  6. Serves as staff liaison for the "Classes and Chapters" Alumnae Board Strategic Planning Team and the Outstanding Alumnae Awards Committee.
  7. Uses multi-user database for mailing list creation and event tracking and reporting to identified success metrics.
  8. Develops, tracks and reports the Alumnae Weekend and other relevant project budgets, the Alumnae House budget and contributes to developing, tracking and operating within budgets for the alumnae relations office.
  9. Provides day-to-day oversight of the Alumnae House operations and supervises the House hostess, while keeping the Sr. Director up to date on key information.
  10. Develops and maintains relationships with college


REQUIREMENTS

Education: BA/BS required .

Experience: 5-7 years of professional event planning experience, within the context of higher education a plus. Knowledge of Agnes Scott College beneficial .

Knowledge/Skills/Abilities:
  • Effective project/office management skills, as well as leadership experience in event/conference or meeting planning and execution, required.
  • Ability to provide excellent and culturally sensitive customer service to a constituency that includes a wide diversity of ages, geographic regions, races/ethnicities, LGBTQIA identities, including effective conflict resolution
  • Highly attentive to details, while maintaining a firm grasp on the desired "big picture" outcomes.
  • Strong technical skills are required - proficiency in MS Office suite, Google productivity suite, Zoom video conferencing; and working knowledge of CRM/databases (Raiser's Edge, SalesForce, etc.), design (Canva) and/or email marketing platforms (MailChimp, Constant Contact, Emma, etc) a plus.
  • Strong communication skills, both verbal and written.
  • Insured driver in the State of Georgia.

Other: Ability to work flexible hours as well as work evenings and Irregular hours are required during Alumnae Weekend, Reunion Bootcamp and other events organized by the alumnae office.

PHYSICAL DEMANDS

Intermittent sitting, standing, stooping, crouching, walking, and occasional moving of objects up to 50 lbs. Work is performed in an office. Travel is rare.
