Job Summary

The Administrative Support Assistant will serve as the receptionist in the College of Education Dean's Office under the direct supervision of the College Dean while receiving lead direction from the Administrative Analyst.

Responsibilities include but are not limited to:
  • Bring a level of professionalism to the receptionist position, offering a warm, welcoming, and customer service focused atmosphere.
  • Take the lead role in answering phones, assisting students, faculty, staff, and office visitors to provide appropriate information and/or guidance related to questions and processes.
  • Act as the back-up receptionist for the College of Education Jim and Judy Watson Student Services Office as needed.
  • Maintain knowledge regarding various programs, events etc. to be able to appropriately direct inquiries.
  • Assist students and faculty with all student forms/processes while maintaining knowledge on policies and procedures related to these processes.
  • Participate as an active team member to assist the team in meeting goals for successful outcomes.
  • Maintain current knowledge of purchasing policies and procedures. Assist with completing purchases through various processes including requisitions, procurement cards and other ways deemed appropriate from Procurement Services and/or Accounts Payable.
  • Provide administrative support for a variety of events held by the college which may include arranging for hospitality, parking, space reservation, etc. Events may be during the evening, on weekends and/or at another location.
  • Provide a variety of other duties related to the administrative support needs of the college dean's office. Duties may include but are not limited to pay warrant distribution, mail distribution, faculty leaves, faculty ballots, room reservations etc.


Employment Status: Full-time, Probationary, "Non-Exempt" position (with the possibility of converting to permanent).

Work Schedule

Monday through Thursday, 9:00 am to 5:30 pm and Fridays, 8:00am to 4:30pm. Occasional evenings and weekends for events. Summer schedule will be Monday - Thursday, 7:00am - 5:30pm.

Key Qualifications
  • Basic knowledge of applicable university infrastructure, policies, and procedures.
  • Working knowledge of English grammar, spelling, and punctuation.
  • Ability to use standard office equipment.
  • Ability to use standard word processing and related computer software packages.
  • Ability to identify and solve standard problems and refer more complex problems to appropriate staff.
  • Ability to perform basic mathematical functions.
  • Fundamental writing and presentation skills to effectively communicate standard information.
  • Ability to respond to routine inquiries and explain standard policies and procedures to others.
  • Reading and comprehending, writing, communicating verbally, reasoning and analyzing.
  • Ability to maintain a Procurement card.

Education and Experience
  • High School diploma or its equivalent AND one year of experience in general office clerical or secretarial work or the equivalent.
  • Valid CA driver's license and insurance.

Salary

Anticipated Hiring Range: $3,120 per month

Classification Salary Range: $3,120 - $3,829 per month
