Position Overview:

Responsible for performing a variety of accounting-related work and completing basic administrative tasks for a large division/college. Facilitates information gathering and sharing to support the off-site Director of Finance. Requires great attention to detail and a collaborative personality. The general schedule of this part-time position is 20-25 hours a week, Monday through Friday, with flexible hours available. **Note** This position will not include UCO Benefits.

Department Specific Essential Job Functions:

Creates accurate and timely daily records of incoming gifts. Prepares bank deposits. Greets and assists students, staff, faculty, alumni, and donors as needed in a professional and friendly manner—in person, via email, or on the phone Evaluates appropriateness of disbursement requests obtains approval, and enters them into the financial system, creates timely regular financial reports as needed working closely with the off-site Director of Finance. Gathers information for monthly journal entries and prepares various entries. Gathers information and supports Vice President as needed. Prepares, maintains, and circulates information as requested, with knowledge of what the information means so it can be explained to non-accounting minds. Will have contact with sensitive, complex, and confidential information; assumes the responsibility to keep information private. Responsible to ensure adherence to quality standards, fund requirements, deadlines, and professionalism. Responsible for maintaining an accurate job manually for their areas of responsibility. Orders and maintains an inventory of office supplies and equipment as needed. Assumes responsibility for small projects and oversees such projects through to completion; will serve as the building captain and assist with daily office operations including mail processing, scanning of documents, and working with student workers. Maintains daily functions of the office to support the functions of Advancement and performs other related duties as assigned.

Scope & Impact: This position is an entry-level professional position, with actions that may have a measurable impact on operations within a work group.

Communication & Interaction : Routinely answers questions and provides information and data requested by individuals within or outside of the work area. Questions that require interpretation or are not easily resolved are referred to Supervisor.

Effective Knowledge: Demonstrates ability to execute tasks according to standard operating procedures and/or direction. Demonstrates ability to learn new subject matter, coupled with attention to detail and responsiveness to feedback.

Problem Solving & Judgement : Performs a variety of duties following established policies and procedures. Resolves problems by selecting from approved alternatives based on past practices, established procedures, or direction. Relies on direct supervision is available to set priorities and objectives, and to assist in problem resolution.

Budget Authority: May provide input into budget development by assisting with the identification of operational needs and requirements.

Policy & Procedure Authority: Primarily responsible for executing routine procedures with direction from senior staff.

Reporting Re lationships : Generally reports to a manager or higher but may receive basic operational direction and guidance from senior-level staff members.

Qualifications

Qualifications/Experience Required:
  • Requires either a bachelor’s degree or 4+ years of equivalent work experience or vocational training or equivalent combination of education and experience.
  • Blackbaud Financial Edge, Quick Books, and not-for-profit accounting experience preferred as well as basic accounting skills/background.
  • Experience in a higher education environment a plus; General understanding of the use of office equipment.
Knowledge/Skills/Abilities:
Knowledge of the importance of timely and accurate information and its impact on office flow. Ability to use office equipment, and apply appropriate office procedures and practices. Must be computer literate in the use of relevant software applications including MS Word, Excel, and PowerPoint. Excellent telephone etiquette, and communication (written and oral) skills. Ability to work well with others and relate to alumni and students with diverse cultural and social backgrounds. Ability to multi-task and pay acute attention to detail. Demonstrate a warm and caring professional service-oriented attitude. Ability to maintain confidentiality. Ability to work well in hectic and stressful situations. Must be self-motivated, organized, and possess time management skills.
