The University of Montana invites applications for a full-time Budget Analyst III position in the Division of Biological Sciences (DBS) . This position provides high-level comprehensive pre- and post-award federal and private grant management, subcontract administration, and financial analysis. This individual will be primarily responsible for pre-award budget creation and post-award implementation and oversight by assessing budget proposals, analyzing funding allocations, creating and maintaining accurate and timely spreadsheets, graphs, and databases.

This position requires knowledge of federal requests for funding announcements, grant budget spending rules, re-budgeting policies, and overall guidelines. The Budget Analyst III will be well-versed in money management, and administrative functions. Beyond their fiscal skill set, this analyst will also need to have professional written, verbal, and interpersonal skills.

The Budget Analyst III position works under the Administrative Associate Manager and reports to the Associate Dean of the Division of Biological Sciences (DBS). They will accurately conduct reasoning, interpretation, and accounting/budgeting information using spreadsheets, and reports, for grant documentation for the Associate Dean. The position could also assist in forecasting future financial requirements for the Division of Biological Sciences.

This employee will work one-on-one with DBS faculty, helping them to create grant budget documents, to track existing grants and grant expenditures, etc. This employee will work in an office environment with five other staff members and the Associate Dean in the main DBS office. They will also interact with the Office of Sponsored Programs and centers like the Center for Biomolecular Structure and Dynamics, as well as Human Resource Services and Business Services.

What You Will Need to Be Successful:
  • Accounting skills and experience managing multiple budgets
  • Proficiency in data analysis
  • Advanced skills in Microsoft Excel or similar spreadsheet programs
  • Ability to create and manipulate mathematical formulas, numerical and text data within spreadsheets
  • Manage and prioritize multiple tasks independently
  • Ability to work cooperatively and efficiently with others
  • Able skillset in: planning, time management, organization, communication, and problem solving skills
  • Working knowledge of Microsoft Word, Microsoft Teams, and Zoom
  • A positive and constructive attitude, ability to interact patiently and respectfully with co-workers, learn from constructive criticism, and provide guidance to others as needed
  • Bachelor’s degree in related field


Post-Training Position Knowledge, Skills, & Abilities:
  • Working knowledge and practical experience in using the Banner accounting system of the University of Montana, particularly with respect to functions related to purchasing and payroll activities
  • Understanding of, and ability to apply best practices and conform to purchasing guidelines of the Business Services administrative unit of the University of Montana
  • Understanding of and ability to apply best practices and conform to grant management guidelines of the Office of Sponsored Programs at the University of Montana
  • Ensure compliance with federal, state, and university policies/procedures relating to all grant-related fiscal activities
  • Develop expertise through training in the use of the Cayuse grant preparation and management software suite
  • Develop expertise in the use of federal and private granting agency submission and reporting platforms such as eRA Commons and Grants.gov
  • Develop expertise in the use of University software systems, namely GrizMart, Uapprove, Banner, UMDW and InfoGriz
Preferred Education, Experience, Knowledge, Skills, and/or Abilities:

A preferred candidate has a Bachelor’s degree from an accredited college or university with an emphasis in accounting, finance, business management or a related field and the following knowledge, skills, and abilities:
  • Experience in pre-award and/or post-award financial grant management
  • Experience in job-costing or tracking project specific costs
  • Experience in developing and maintaining excel workbooks to track actual costs and expense projections to budget
  • Experience in governmental or non-profit accounting Software experience in Excel, Banner, Grizmart, and/or QuickBooks

Salary: $23.086/ hr
