Position Summary:
The Office Manager in the Office of Admissions serves as a front-of-house manager for the staff and visitors to the college. This position serves as the administrator of daily operations in the Office of Admissions and reports to the Dean of Admissions and Assistant Director of Admissions. This position is responsible for deploying and maintaining key functional systems in the PNCA Slate instance. Understanding the needs of enrollment and admissions issues in higher education is mandatory.

JOB DUTIES
- Responsible for the smooth functioning of all aspects of the
office, from student inquiry by phone, e-mail, mail, and in-person
visitors, to coordinating correspondence to the correct in-office
contacts
- Event planning and organizing (reserving rooms for Admissions
Events, ordering food, printing documents for events, coordinating
work study assistance, etc.)
- Coordinates birthday and anniversary celebrations for office
(purchase card and treats for team)
- Point person and organizer of on-campus recruitment and
recruitment related events
- Hiring, training, and managing of student
ambassadors
- Manages Admissions Visitors calendar
- Purchases office supplies as needed
- Coordinates all group and individual visits through PNCA visit
program.
- Inputs all secondary school college counseling and arts teacher
contact information into database
- Handles special tours, and conducts tours for VIP applicants
and parents
- Gives tours to students and parents if no admissions counselors
are available
- Maintains and updates VIP/Notable Parent list
- Coordinates all PNCA classroom visits for prospective
students
- Maintains student worker and intern schedules
- Organizes special USPS mail communications to prospective
students, applicants, and accepted students
- Works with admissions counselors to coordinate shipping of
recruitment materials, drop boxes off at post office
- Organizes and sorts mail for Admissions Office
- Helps set agenda and transcribes notes during admissions
meetings
- Serves as troubleshooter for office technology and main point
of contact for outside office equipment vendors
- Tracks and orders office supplies and recruitment
materials
- Other duties as assigned
MINIMUM QUALIFICATIONS
- Bachelor's degree or equivalent experience
- Minimum of 2 years office management experience
required
- Expert knowledge using a Mac computer
- Experience using Gmail, Google Calendar, Excel, Word,
Keynote
- Experience in a fast-paced office environment
- Excellent interpersonal, written and oral communication
skills
- Strong writing skills
- Excellent organizational and time management skills with the
ability to manage multiple projects and see projects through to a
timely completion
- Ability to interact effectively with varied internal and
external constituencies demonstrating tact, diplomacy, discretion
and good judgment
- Ability to work responsibly, independently and collaboratively
in a fast-paced environment
- Ability to learn, adapt to, and utilize new computer systems
and technology
- Strong ability to work in a team environment
Preferred Qualifications
- 3-5 years office manager or coordinator experience
- Experience working in a non profit
- Experience with Slate
- Experience in a higher education setting
Salary: $20 - $23 per hour
