University Union Facilities Operations Coordinator

- Responsibilities:
- Perform duties necessary for event/room/area setups and teardowns. Assist in the coordination of when such setups and teardowns take place and determine the amount of labor required and any potential conflicts or problems in the scheduling of such areas.
- This position often represents the management of the University Union to students, guests, patrons, and faculty/staff and enforces Union facility and University policies and procedures, and recommends revisions to supervisor.
- Interpret and enforce building policies for students, guests, patrons and faculty/staff; ensure that all work is completed in a safe manner; and monitor security compliances for all areas within the building.
- Prepare and maintain the Union for business when scheduled. Responsible for University Union building operations dependent on hours worked, i.e., nights, weekends, holidays, etc. Responsible for handling emergencies and/or other decisions (criminal action, breakages, irregularities, etc.) that require immediate attention during these scheduled work hours.
- Assists with daily management of building and equipment inventory (Union and Westec); checks all equipment for working order, security and placement; performs periodic inspections/checking of Union; provides personnel coverage of service areas as requested. Provide reports which should detail a variety of information regarding problems, needed repairs, security issues, and other important information that the building's central administration should be aware of. Develops and coordinates a consistent equipment maintenance and replacement program.
- Assists in the production and coordination of special events, lectures, and meetings and fulfills technical responsibilities in the University Union and other event production spaces on campus, including troubleshooting laptop/ projector connections and house sound systems. Coordinates actual production of major events and campus activities sponsored by Western Illinois University and authorized agencies (including, but not limited to, Commencement and Board of Trustees Meetings).
- Advises student organizations, departments and community groups on lighting and sound requirements for events that involve Western Technical Services. Completes necessary correspondence on behalf of Western Technical Services to campus organizations, groups, departments, and outside agencies hosting events on WIU's campus.
- Consults with University Technology staff for coordinated use of technology setups.
- Assembles, maintains, and keeps an accurate inventory of all portable and permanent audio equipment, televisions, and video equipment within the University Union facility.
- Performs the installation, adjustment, and ongoing maintenance of equipment for functionality throughout the University Union facility. This also includes servicing the University Union 2-way radios and assisting with the repair and servicing of the cable television equipment located in the University Union Hotel.
- Serves as a liaison between national touring companies, professional entertainment groups, performing artists and Western Illinois University for the production of major events and campus activities that involve Western Technical Services.
- Hire, supervise, and evaluate student employees who assist with setups and teardowns in the Union and direct the operation of Western Technical Services (WESTEC) to assist with all event production spaces on campus. Assigns personnel based on event needs and as per the requirements of contract riders.
- Coordinates records and prepares reports on budgets, payroll, and labor costs.
- Develops and conducts employee training programs on the proper use of sound, lighting, and projection equipment used by Western Technical Services. Also trains student staff on setup requirements and protocols for University Union spaces.
- Required Qualifications:
CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER
- High School Diploma or equivalent.
- Any one or combination totaling three (3) years (36 months) from the categories below:
- college course work in facility management, operations
management, or a closely related field, as measured by the
following conversion table or its proportional equivalent:
- 60 semester hours or an Associate's Degree equals one (1) year (12 months)
- training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.

- One (1) year (12 months) of supervisory or administrative experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience
- Starting Salary: $3,368/month
