Job Description:
  • Personnel coordinator for the University of Florida Police Department – Department liaison for personnel matters with University Division of Human Resources. Coordinate the department’s recruitment/selection process for all positions within the department (sworn and non-sworn). Coordinate the posting with Human Resources of any vacant position; prepare any necessary job advertisement; review all applicants in applicant pool to determine qualifications; and schedule for interview all appropriate and qualified applicants. Serve as member of the interview committee; coordinate pre-employment background investigations with the background investigator; schedule pre-employment physicals with medical facility; coordinate and/or complete all necessary paperwork/data entry with appropriate departments upon final selection of applicant; process letter of notification to all interviewed applicants; maintain all necessary records/files of employment processes. Provide information to department members as needed and/or as requested.
  • Hire and train OPS and full-time personnel assigned to the UFPD Personnel Office. This includes creating and maintaining Desk References for all positions, which have detailed information on each positions duties and procedures for completing each of the documented tasks.
  • Maintain all Employee data in several computerized systems, to include – tracking of employee actions, performance appraisals, photographs, assigned supervisors, emergency contact information, position numbers, titles and roles of them of employees. Coordinate and process pre-employment paperwork/data for all sworn personnel with Florida Department of Law Enforcement (FDLE).
  • Coordinate and maintain the process associated with the routing of personnel performance appraisals and contracts for all exempt and non-exempt employees.
  • Assist with the budgeting process; annual reports, correspondence and documentation gathering for accreditation files.
  • Gather data, prepare reports and analysis for projects assigned by the Director, Associate Director, or Assistant Director; prepare confidential reports and correspondence for same as needed and/or directed.
  • Other related duties.
  • Assist in timekeeping operations, purchasing and payroll in the absence of Business Office personnel as needed. Assist with the hiring and termination of personnel in EH&S and Emergency Management when appropriate.
  • This position is designated as an Essential Employee. Essential employees provide vital support to the University of Florida and are subject to recall to work when deemed necessary by the Chief of Police/designee. Recall to work typically happens due to an emergency, disaster or special event that may coincide with the official suspension of classes and/or closing of offices.
Expected Salary:

$22.75 per hour

Minimum Requirements:

Bachelor’s degree; or an equivalent combination of education and relevant experience.

Preferred Qualifications:

Knowledge of office procedures and practices; knowledge of the principles and techniques of effective verbal and written communications; knowledge of the methods of data collection; knowledge of basic arithmetic; ability to compile and analyze data for administrative decisions; ability to organize and maintain records management systems; ability to understand and apply applicable rules, regulations, policies and procedures; ability to deal with the public in a tactful and courteous manner; ability to perform basic arithmetical calculations; ability to work independently; ability to utilize problem solving techniques; ability to plan, organize and coordinate work assignments; ability to communicate effectively verbally and in writing; ability to establish and maintain effective working relationships with others.
