DEPARTMENT Registrar

REPORTS TO: Assistant Registrar

OFFICE LOCATION: Daemen, Amherst, NY Campus

STATUS: Hourly, Non-exempt- 35 hours/week; $15-17/hr based on experience.

 

MINIMUM QUALIFICATIONS:

  1. Associates Degree in related field. 1-2 years of experience in higher education or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

  3. Experience in a customer-related field with the demonstrated ability to react to customers quickly, accurately, and congenially.
  4. Experience or training that demonstrates strong organizational skills.
  5. Must possess strong computer skills, including the ability to operate a student information systems or similar types of Enterprise Resource Planning software (ERP), as well as other common office software such as Word and Excel.
  6. Attention to detail and ability to follow through independently are essential. Effective critical thinking abilities are vital.
  7. Strong oral and written communication skills for concise, friendly, tactful and effective communication.
  8. Must abide by Family Educational Rights and Privacy Act (FERPA) regulations, able to exercise a high level of confidentiality in regard to student records.

PERFERRED QUALIFICATIONS:

  1. Knowledge, experience with student information systems (SIS). Ellucian Colleague preferred or others such as Ellucian Banner, Oracle/PeopleSoft...
  2. Experience working in higher education, particularly with academic records.
  3. Knowledge or interest in process improvement. Experience in process improvement tools such as Six Sigma, DRIVE or other examples
  4. Knowledge and experience system functional testing and/or creating functional process documentation



TERMS OF EMPLOYMENT:

Full time, thirty-five hours per week, twelve-month position, with a flexible work schedule for days and hours assigned on an ongoing basis. This may require some evening and weekend hours during busy times such as registration, open house, orientation, graduation.

BENEFITS: This is a full-time, 12-month, non-exempt hourly position ($15-17/hr). Salary is competitive and includes full university benefits. Benefits are available the first of the month following the full-time employee's date of hire and include health, dental, vision insurance, and fully paid life insurance. In addition, we offer fully paid long term disability insurance after 3 months of employment. Eligibility for the 403b retirement plan is available to full-time employees upon hire and an 8%employer match after one year of service. Excellent time off benefits for holidays, vacation and personal time is included. Tuition waiver benefits are also available for full-time employees and their qualified dependents

SUMMARY OF RESPONSIBILITIES:

The Records and Registration Assistant works within a team to carry out duties for the Registrar's Office. This includes creating and managing the student's academic record. Assisting our campus community with processes that support registration, grading, transcription and graduation. They provide direct support services to students, the campus community, alumni, and the public.

The Records and Registration Assistant will assist and support process improvement, testing and documentation of in house procedures, particularly in areas of direct support such as transcripts, grading, registration, enrollment verification and other related Registrar processes.

 

SPECIFIC RESPONSIBILITIES:

  1. Assist and support process improvement, testing and documentation of in house procedures, particularly in areas of direct support such as transcripts, grading, registration, and other related Registrar processes.
  2. Assist students and faculty with the Registration process in all phases including advanced registration, drop/add, cancellations, petitions for enrollment and other registration needs.
  3. Create, maintain and purge student academic files this will require interaction with both a Student Information System as well as an E-filling system. This includes filing of appropriate documents and forms in files.
  4. National Student Clearing House liaison including enrollment, degree verification reporting as well as error resolution.
  5. Process and update information from Committees of Academic Standards for both Graduate and Undergraduate students; this includes Suspensions, Dismissals and changes in status.
  6. Process and assist with intake of Admission files for new students.
  7. Process and assist inactivating students as well as leaves and withdrawal requests.
  8. Coordinate transcript request processing, tracking and other transcript support.
  9. Coordinate and support enrollment and degree verification processes. This includes loan verification or deferment needs.
  10. Processing of professional licensure applications/certifications for Daemen alumni.
  11. Perform grading support for students and faculty.
  12. Coordinate enrollment data processing such as our attendance procedure and follow up. This includes the use of a student system to missed class information.
  13. Processing of approved academic bankruptcies; authorized late withdrawals; posting of CLLE credit.
  14. Assist faculty with inquiries regarding their course enrollments, class rosters, grading packages, etc.
  15. Assist with processing of non-course degree requirement completion on student record.
  16. Process and coordinate student, faculty/instructor and/or other campus community forms.
  17. Assist with office communications to the campus community as needed.
  18. Support when needed, grade collection process, which includes managing incomplete grades, grade changes, grade verification, missing grades and other academic grading needs.
  19. Support when needed, preparation and maintenance of the planned and current course files and academic schedule for each term. Support when needed individual room course assignments.
  20. Support when needed, receptionist duties in the Registrar and Registration offices.
  21. Additional specific duties/projects as assigned by the Registrar and the Assistant Registrar

 

General Physical Requirements:

Light Work: Exerting up to 25 pounds of force occasionally and/or a negligible amount of force constantly to move objects; desk job with majority of sedentary work sitting roughly 50% or greater of the workday.

 

Working Conditions:

Climate controlled office setting, but some activities/ duties can occur both inside and outside the office setting.

 

Post-Hire Trainings:

Various trainings assigned upon hire and annually thereafter by the Office of Employee Engagement.
