Official Title: Administrative Assistant to the Behavioral Science Department

Organizational Unit/Department: Behavioral Sciences

Work Location: Daemen University, Amherst NY Campus

Title of Immediate Supervisor: Program Director/Department Chair

 

Purpose of Position:

The Administrative Assistant provides support to the faculty and staff of the Behavioral Science Department to ensure proper organization and functioning.

 

RESPONSIBILITIES

  • Main receptionist for the Behavioral Science Department
    • Provide exceptional customer service, support, problem solving, and follow-up in person, by phone, or via email to support operations of the Behavioral Science Department
    • Remain knowledgeable on all admissions criteria, program requirements, course information, and semester schedules to respond accurately to all inquiries regarding all Behavioral Science programs.
    • Primary responsibility to aba@daemen.edu
    • Primary to answer the phone, make requested copies, shred, and to check mailbox in Duns Scotus, as well as to send, receive, and process official correspondence to students, faculty, task supervisors, alumni, community partners, and others as directed by the Department Chair, Administrative Associate, or department-level coordinator or director.
    • Ensure departmental signage is accurate
    • Schedule meetings on behalf of the faculty, and maintain the shared calendar (including gathering important dates from other college departments)
  • Faculty Support
    • Schedule department faculty and committee meetings, student appointments, prospective student interviews, Capstone presentations, and other meetings
    • Forward calls and appointment requests for Department Chair to the Administrative Associate
    • Maintain dates and information about licenses and certifications (e.g., LBA, BCBA, CITI)
    • Follow departmental systems and remind faculty to follow the departmental systems and procedures
  • Provide administrative assistance to the Advisement and Distance Education Coordinators
    • Follow Application and Enrollment Procedures for the department, including but not limited to,
      • Monitor admissions spreadsheets
      • Provide information and move prospective students in Slate
      • Track participation in and completion of ABA Online Orientation
      • Assist in ongoing development and refinement of Admissions and Enrollment procedures at the Department level
    • Other related duties as requested by the Advisement and Distance Education Coordinators
  • Provide support to the Accreditation Coordinator and the leader of the PhD Program
    • Assist with the development of data collection procedures, storage, and retrieval
    • Once system is developed, implement the system each semester
    • Attend specific meetings, take and organize notes and systems
    • Other related duties as requested by the Accreditation Coordinator and leader of PhD Program
  • Liaise with other administrative offices at the university in a timely and professional manner
    • Interface with Admissions and other University offices
    • Website updates
    • Hub updates
    • Assist with computer and other technology needs of Department faculty
  • Other Behavioral Science departmental duties
    • Solicit information from faculty to develop and deliver a quarterly alumni newsletter via Mail Chimp
    • Assist in the development of organizational systems to ensure departmental procedures and processes are carried out effectively.
    • Proofread reports, including, but not limited to, workload reports, change forms, incomplete reports, rosters, and AFD reports, as requested by the Department Chairperson or Administrative Associate
  • Other related duties as requested by the Department

EDUCATION AND EXPERIENCE:

  • Bachelor's degree in administration or related fields (preferred);
  • Minimum: Three years administrative support experience;
  • Solid computer skills, including experience with Microsoft Office Suite and Google applications- specifically Excel and Google Sheets;
  • Excellent communication skills and initiative;
  • Strong organizational and clerical skills.
  • Demonstrated time management and multi-tasking ability;
  • Ability to design and implement systems of support; and
  • An understanding of ABA is preferred.

OTHER QUALIFICATIONS:

  • Ability to read, analyze and interpret general business periodicals and technical procedures;
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form;
  • Ability to work independently including anticipating fast-paced departmental needs; discerning work priorities among multiple concurrent assignments; and meeting deadlines with minimal supervision;
  • Strong written, verbal, analytic, and interpersonal skills;
  • Strong customer service skills including communication, flexibility, adaptability, and problem solving;
  • Must stay current with job- and industry-related technology; and
  • Must possess a valid driver's license and a reliable automobile

Equipment/Machines Operated: Prior knowledge of basic office equipment and proficiency in Google and Office applications. Position requires extensive word processing abilities.

Relations to other Positions:

Inside College: Campus-Wide

Outside College: Vendors, Professional Associations, Community Partners

Variables: Ability to work independently. Must maintain a high level of confidentiality- FERPA.

 

BENEFITS: This is a full-time, 12 month - 35hrs/week, hourly (non-exempt) position. Pay is $14-15/hr based on experience and includes full University benefits. General hours 8:30am-4:30pm with hour unpaid lunch break.

Benefits are available the first of the month following the full-time employee's date of hire and include health, dental, vision insurance, and fully paid life insurance. In addition, we offer fully paid long term disability insurance after 3 months of employment. Eligibility for the 403b retirement plan is available to full-time employees upon hire and an 8% employer match after one year of service. Tuition waiver benefits are also available for full-time employees and their qualified dependents.

Standard Background Check Required.

General Physical Requirements: Light Work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to move objects; desk job with majority of sedentary work sitting roughly 50% or greater of the workday.

Working Conditions: Climate controlled office setting, but some activities/ duties can occur both inside and outside the office setting. Well-lighted and ADA-compliant work area. Flexible workplace design.

Physical/Mental Demands: Friendly environment with significant hours daily at a computer workstation.

Post-Hire Trainings: Various trainings assigned upon hire and annually thereafter by the Office of Employee Engagement.
