Context of the Job:

Under the limited supervision of the Director, Non-Credit Programs the Administrative Assistant III manages diverse and complex tasks that are time-sensitive and support the operational and administrative functions of professional non-credit programs and conferences. The noncredit portfolio consists of non-credit conferences, Governor School of Excellence, International Summer School, certificates, and courses. Responsibilities include faculty relations, problem solving, compensation, logistics, CRM, Smart Sheets, Google Sheets, project management, and vendor communications. Incumbent will review, analyze, and evaluate work methods, operational procedures and related use of marketing tools, personnel, funds, AV, IT, and equipment; provide technical assistance for program kickoffs; recommend changes and improvements to enhance the effectiveness and quality of program and course content, as well as student experience. Provides responsible stewardship of university resources.

Major Responsibilities:
  • The Administrative Assistant III also provides administrative support directly for the Associate Vice Provost, PCS
  • Major Administrative Responsibilities:
  • Assistant Program Coordinator with managing day-to-day operations of assigned non-credit programs, events, and conferences.
  • Assist non-credit team, which includes correspondence with internal and external partners, coordination with various internal UD partners in colleges and departments, updating program budgets, invoicing, payment of instructors and administrative duties as needed.
  • Provide administrative support to the Associate Vice Provost, for PCS
  • Manage financial aid process including applications and award approvals. Create and monitor registration to stay within the allocated financial aid fund and available seats.
  • Working with international professionals in multiple time zones and complex paperwork, through the visa credentialing process, in cooperation with UD OISS.
  • Initiate, draft, and edit marketing promotional materials and webpages.
  • Initiate MOA contracts, S Contracts, purchase orders, JVs, and other standard University financial and web forms.
  • Moderate, facilitate, and attend bi-annual professional development information sessions. Prepare program materials and be familiar with noncredit programs to answer questions.
  • Provide back-up support for other Professional Development team members on an as-needed basis.
  • Serve in the divisional and/or university committees, as assigned.
  • Perform miscellaneous job-related duties as assigned by manager. Responsibilities and tasks provided in this position description are not exhaustive and may change as determined by the needs of the manager.

  • Attend employee development training.
  • Work weekends, evenings, and travel to regional event locations, as needed.


Qualifications:
  • High school diploma or GED, Associate's degree or equivalent college-level course work preferred in business administration or related field and three to five years of experience. Additional administrative training or related education may be substituted for required experience.
  • Strong customer service skills with an entrepreneurial spirit.
  • Ability to work independently and handle multiple assignments concurrently, in a time-sensitive, thorough, detail-oriented, and well-organized manner meeting tight, critical deadlines.
  • Proficiency in current Microsoft Office Suite and survey software (Qualtrix, Survey Monkey, etc.). Familiarity with CRMs (Slate, SalesForce) and LMS (Canvas).
  • Demonstrates an understanding and consideration of the differing needs and concerns of individuals with varying identities, age, cultures, and backgrounds.
  • Committed to fostering a workplace culture of belonging, where diversity is celebrated, and equity is a core value.
  • Strong knowledge of office practices and procedures.
  • Excellent oral and written communication skills.
  • Experience providing support to online educational programs preferred.
  • Experience in an institute of higher education preferred.
  • Familiarity with process improvement techniques.
  • Event planning experience preferred.
  • Knowledge of processes involved in obtaining US Visa preferred
  • Ability to work weekends, evenings and travel to regional event locations as needed.
