Context of the Job:

The College of Arts and Sciences (CAS) at the University of Delaware is nationally recognized for its exceptional educational experiences and for integrating instruction, research, and public engagement. With 24 academic departments in the arts, humanities, social sciences, and natural sciences, more than 25 centers, programs, and institutes, and featuring outstanding research and teaching facilities, CAS serves over 7,500 students, is supported by approximately 400 staff, and maintains annual operating expenditures of over $121M. The College's 600 faculty members emphasize the enduring value of an arts and sciences education and a deep commitment to excellence in scholarship and all forms of creative and intellectual expression, with sponsored research expenditures totaling more than $38.6M per fiscal year.

The Student Success Center unit of the CAS Dean's Office is committed to providing advisement and academic services to support the success and retention of all students in the college, and to providing collaborative support to faculty and staff who serve as advisors to undergraduates in the college. In addition to providing academic advising for all CAS first-year and second-year students, CAS Student Success Center provides new student orientation for over 1,400 new students and graduation review for 2,500 undergraduate students during four annual degree conferral cycles, granting over 1,700 bachelor's degrees annually. Each Academic Program Manager (APM) in the Student Success Center office, as a member of a team of managers, provides management of student services and coordination of advisement for one-fifth of the CAS student population (approximately 1,350 students), advisement support for students in the entire college, and academic services to support the success and retention of all students in the college. This position serves as a resource for students, staff, and faculty regarding degree requirements, academic planning, curriculum and certification options, and academic policies and procedures.

Major Responsibilities:
  • Supervise and conduct yearly performance appraisals for Student Success Center Academic Advisors. Collaborate with Assistant Dean to set goals and objectives for advisor training and outcomes. Design and implement training programs for new professional advisors. Mentor new advisors on an ongoing basis.
  • Provide advisement services to one-fifth of CAS undergraduate students, including those on probation, in dismissal status, and prospective students considering transfer to the College. Interpret policy; explain GPA and academic standing; review transfer credits; and provide guidance on majors, minors, leave of absence, CURC and Educational Affairs petitions, readmission, and other related academic matters.
  • Utilize retention/early alert software, such as the Blue Hen Success platform, for student documentation and to conduct outreach to students at various stages of degree completion to facilitate academic success.
  • Advise students who are in crisis. Handle sensitive information and refer students to appropriate support resources on campus.
  • Oversee CAS advisement for college and university-wide initiatives and programs, including, but not limited to, Transfer Student Transition Seminar, World Scholars, Dean's Scholars, and the Liberal Studies program.
  • Assist with New Student Orientation (NSO) activities. Assist with the preliminary review of transfer credits for incoming students, including follow-up with faculty members for course evaluations when needed. Recommend courses for the first semester. Assist with answering inquiries from students and parents in person and via email. Work directly with the Registrar, Admissions, and NSO offices to resolve issues with matriculation, course registration, change of major, scheduling of advisement appointments, etc. Under the limited direction of the Assistant Dean, manage advisement and registration of new international students and students admitted through the Over-60 Program. Under the limited direction of the Asst. Dean, manage advisement and registration of New Transfer Students after NSO proper.
  • Manage graduation clearance for seniors, including completion of degree checkouts for students, identification and clarification of problems, review of transcripts, and final processing of all graduates in UDSIS.
  • Act as advising liaison to several departments and programs. Act as a go-to resource to faculty seeking assistance with complex academic and non-academic student concerns related to degree requirements, university and college policy, excused absence, and connection to resources and supports on campus.
  • Maintain regular contact, in support of students, with UD counterparts, including: Undergraduate Program Coordinators and Advisors in academic departments of the college; Senior Assistant Deans, Assistant Deans, Academic Program Managers, Academic Program Coordinators, and Advisors in other colleges; Registrar and staff; Dean of Students and staff; Directors and staff of Disability Support Services, Center for Counseling and Student Development; Professional and Continuing Studies; and others.
  • Act on behalf of the Dean to consider online course approval, credit overload, late changes of registration, and other exceptions to policy, within the purview of the Dean's Office Student Success Center unit.
  • Use PeopleSoft/UDSIS to complete course substitutions, waivers, and changes on behalf of faculty for all majors in CAS and for all university and college requirements for CAS students.
  • Review and approve Transfer Credit Evaluation Forms on behalf of Assistant Dean.
  • Assist the Senior Assistant Dean in the preparation of petitions for the Committee of Undergraduate Records (CURC) and CAS Educational Affairs Committee.
  • Assist the Senior Assistant Dean in Catalog review/edits of college curriculum pages and four-year academic plans.
  • Represent Assistant Deans in their absence, at meetings.
  • In collaboration with the Senior Assistant Dean, analyze and evaluate academic advising functions, policies, and procedures. Identify student learning outcomes and processes for assessment with the ultimate purpose of improving retention and student success.
  • Assist the Senior Assistant Dean in the short- and long-term strategic planning process for the Student Success Center Office.
  • Participate in Admissions recruitment activities.
  • Performs miscellaneous job-related duties as assigned.

Qualifications:
  • Bachelor's degree, Master's degree preferred in student personnel, counseling or other job-related/liberal arts and sciences discipline and at least four years of progressively-responsible experience directly related to liberal arts and sciences, education, and college-level student advising in a higher education setting, or equivalent combination of education and experience.
  • Experience with undergraduate programs; specific knowledge of UD programs is preferred.
  • Ability to provide technical leadership and project management; advanced knowledge and understanding of student academic advisement, development, and retention issues, trends, and programs.
  • Strong interpersonal skills.
  • Ability to gather data, analyze information, and prepare and present reports.
  • Ability to work effectively with a wide range of constituencies in a diverse community.
  • Advanced working knowledge of academic recruitment and advisement policies, procedures, systems, regulations, and standards at the university level.
  • Knowledge of current and emerging developments and trends; ability to present effectively to small and large groups; of best practices in advising and providing services and the ability to relate to diverse populations.
  • Ability to develop, plan, and implement short- and long-range goals.
  • Ability to develop and deliver presentations.
  • Knowledge of university curriculum and student services procedures.
  • Dedication to and understanding of the importance of degree completion and student success.
  • Effective writing and verbal communication skills.
  • Proficient computer skills including use of presentation, spreadsheet, and database software.
  • Experience with PeopleSoft UDSIS preferred, and retention or student success software (such as EAB Student Success Collaborative) preferred.
  • Demonstrates an understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures and backgrounds.
