Kenyon College invites applications for the position of Campus Events Manager. Under the leadership of the Director of Campus Events, the Campus Events Manager is a member of the Office of Campus Events and is responsible for helping to support College ceremonies, campus events, summer conferences, and academic programs. Primary responsibilities of this position are the management of the campus room reservation system (EMS), helping to ensure alignment of events across campus by maintaining and monitoring the Master Events Calendar, and assisting with ceremonies, conferences, and events.

Essential Functions

  • Manage EMS, Kenyon’s room reservation system, including assisting others with making/completing reservations, adding services, and training new hires to use the system.
  • Collaborate with Library & Information Services (LBIS) on changes to and updates for EMS.
  • Work closely with Space Owners and campus partners to ensure that room reservations and service requests are reviewed/approved in a timely fashion.
  • Serve as a member of the Kenyon Reservations User Support Team (KRUST) to help develop policies and procedures for reserving campus spaces.
  • Coordinate, monitor, and update the Master Events Calendar in collaboration with the Office of Campus Events and other campus personnel.
  • Monitor and update the website calendar of events to ensure alignment of events across campus in conjunction with the Office of Communications and other campus partners.
  • Maintain working knowledge of campus buildings, including capacities, standard set-ups, A/V equipment, equipment storage, etc.
  • Assist other members of the Office of Campus Events with the pre-event planning and day-of on-site execution of ceremonies, events, and summer conferences.
  • Develop room diagrams with licensed software (Room Viewer).
  • Process invoices, work orders, payment requests, and other relevant paperwork.
  • Represent the Office of Campus Events at standing and ad hoc meetings.
  • Order supplies for events, as well as for the office.
  • Work with student employees.
  • Other duties as assigned.

Knowledge, Skills, Abilities and Success Factors

  • Intermediate to advanced computer knowledge, including but not limited to Google Suite and Microsoft Office.
  • Strong organizational and time management skills, paired with an attention to detail.
  • Ability to stay calm under pressure, manage multiple priorities, and be flexible.
  • Ability to establish and maintain positive working relationships with faculty and staff.
  • Professional attitude and demeanor.
  • Excellent verbal and written communication skills to communicate with diverse populations.

Working Conditions

Work is generally performed in an office environment and requires the ability to operate standard office equipment as well as the ability to sit for long periods of time. The ability to lift boxes or items 20 pounds or less and move tables and chairs when necessary for events is required. The ability to obtain College driver certification is desirable. The employee will be dependable, flexible and willing to attend major events, be on-call, and work a varying schedule that will include evenings, weekends, and college breaks.

Minimum Qualifications

  • Two to three years of experience in an office environment, working with multiple computer programs such as Google Suite or Microsoft Office–experience with EMS (or similar software) and/or events is a plus.
  • Strong organizational and time management skills, paired with an attention to detail.
  • Ability and willingness to build relationships and work with a broad range of constituents.
