Reporting to the AVP Finance and Administration, the Associate Director Grants Administration leads all activities involved with the preparation and submission of grant proposals to private foundations and government agencies for the Libraries as well as all post award grant activities. Advances the Libraries interests by proactively researching and identifying sources of support for projects in alignment with the Libraries strategic priorities. Develops and maintains strong relationships with key departments on campus (e.g. Sponsored Projects Administration (SPA), Sponsored Projects Finance (SPF), Office of the Executive Vice President for Research, Office of Alumni and Development) as well as with external funding agencies.

Responsibilities

  • Leads the grant proposal submission process for a wide range of proposals across the University Libraries. Provide guidance to the Libraries Directors/PI’s (Principal Investigators) on the development of the proposal narrative, timing, project period and budget development. Review narrative materials drafted by PI’s for alignment with the agency guidelines, accuracy, consistency, formatting and style. Request and review application materials such as CV’s, project plans, timelines, images, data management plans, contractor proposals, subaward documents etc. Submit application to SPA for review and submission to applicable agency.

  • Manages all post award activities for funded awards including account set-up and the subaward process including initiation, setup, reporting and closeout. Working closely with PI’s, ensure guidelines for both the funding agency and Columbia University are being followed and deliverables are met in a timely manner. Work with PI’s on re-budget and change of scope requests as well as no-cost extension requests, as needed. Review grant spending monthly and meet quarterly with PI to review grant financial statements.

  • Responsible for coordinating the submission of all interim and final narrative and financial progress reports to funders. Maintain and produce a monthly fiscal year grants report for senior management tracking awarded and declined foundation and government grant proposals, submitted proposals, pre-proposals and letters of inquiry as well as planned proposal submissions.

  • Proactively researches and identifies potential funding opportunities for Libraries projects in alignment with Libraries strategic priorities and in consultation with Libraries’ Directors and other senior management. Prepare quarterly report on research prospecting activities.
  • Leads outreach/education activities with the Libraries senior managers including training on all aspects of the grants process at Columbia, and updates on changes at funding agencies including reorganizations, program/guidelines updates, changes in leadership etc.

Minimum Qualifications

  • Bachelor’s degree required. 4-6 years of related experience required.

  • Established record of successful proposal submissions.

  • Post-grant award management experience.

  • Superb project management, writing and editing skills. Deadline driven with ability to turn materials around quickly.

  • Proven ability to work with staff at all levels with diplomacy.

Preferred Qualifications

  • Advanced degree.
  • Work experience in a research library or academic setting.
