The Administrative Assistant for the Division of Student Life provides clerical support and assists with day-to-day operations of Student Conduct, and Title IX & Compliance.

Collaborative skills which cultivate internal and external partnerships that achieve excellence in student success outcomes, community engagement, and a highly engaged team-based culture are paramount in this role. This position requires in-depth knowledge of student conduct, Title IX, compliance procedures, and good judgment in regard to handling a variety of situations with students, faculty, and staff. The Administrative Assistant must maintain the highest standards of confidentiality and will be responsible for making appointments, answering phone calls, and working with the confidential database/scheduling system, Maxient. The Administrative Assistant provides front-office customer service, ensuring that all are assisted in a welcoming manner.
Additionally, the successful incumbent will work with both, the Student Conduct Coordinator, and the Title IX & Compliance Coordinator regarding the communication of all outreach materials. The Administrative Assistant will report directly to the Dean of Student Life, but the primary direction and guidance will be from the Student Conduct Coordinator, and the Title IX & Compliance Coordinator.

• A high school diploma, or equivalent GED .
• Experience with Microsoft Office Suite (Excel, Word, Outlook, etc.)
• Strong organizational, verbal and written communication skills.
• Office and customer service experience.
• Ability to work some evenings and weekends.
• Ability to work effectively and constructively with persons of diverse cultures, language groups, socio-economic backgrounds, and abilities.

Desired Qualifications
• Experienced in clerical responsibilities and/or case management systems.
• Knowledge of Microsoft Office Suite and Outlook
• Accounting or bookkeeping experience and keyboarding experience
• Good organizational, written, and communication skills
• Bilingual in Spanish and English

Dept operations/process 50%
• Provides secretarial and clerical support for Student Conduct, and Title IX & Compliance.
• Facilitates student data entry via laptop for initial and follow-up appointments as requested by staff.
• Assists staff in preparing materials for outreach presentations and meetings.
• Sends communications to CLC community at the direction of staff members.
• Manages financial processes, including requisitions, payment requests, budget transfers, etc.
• Sorts, routes, and responds to incoming email and mail correspondence.
• Arranges meetings, including reserving room space, assembling information, and other related activities.

Student / Customer Service 45%
• Receives visitors and clients; answers and screens phone calls. Provides accurate information to the campus about Student Conduct, and Title IX.
• Contributes to a welcoming and calming atmosphere.
• Schedules appointments in response to staff and student requests.
• Maintains schedules and works with confidential database/scheduling system, including running data reports through Maxient.

Other 5%
• Assists in the creation of print materials.
• Monitors and replenishes office supplies and office equipment.
• Follows all college and departmental procedures and policies; upholds professional standards.
