Job Summary:

The University of Wisconsin School of Medicine and Public Health (UWSMPH) Division of Infectious Diseases and the Wisconsin Department of Health Services (DHS), Division of Public Health is recruiting an administrative professional to support research and public health practice. This is a contract position with the Wisconsin Department of Health Services, which is based in the DHS State Office Building at 1 West Wilson Street in Madison Wisconsin. The candidate will coordinate complex daily activities in support of the Director of the Bureau of Communicable Diseases and the Chief Medical Officer for Communicable Diseases.

The Wisconsin Division of Public Health (DPH) is the state agency responsible for surveillance, prevention control of reportable infectious diseases, including vaccine-preventable infections, healthcare associated infections, HIV, viral hepatitis and sexually transmitted diseases.

Specific duties will support numerous activities that span the DPH Bureau of Communicable Diseases and the Infectious Diseases Research Program at the University of Wisconsin School of Medicine and Public Health (UWSMPH).

Perform administrative duties to support providers, staff, services, and unit programs. May serve as the primary contact or customer service representative and subject matter expert. Tracks, prioritizes, organizes, and completes multiple ongoing clinical, research, or academic projects. Requires Health Insurance Portability and Accountability Act (HIPAA) and Personal Protective Equipment (PPE) knowledge or training.

-Serve as executive staff assistant to the DPH Bureau of Communicable Diseases (BCD) Director and Chief Medical Officer (CMO), managing email and telephone correspondence on behalf of the CMO and Bureau Director, maintaining meeting rosters and other contact lists for the CMO, preparing and maintaining curriculum vitae for the CMO, tracking relevant deadlines for research and public health projects on behalf of the CMO, and coordinating both UW and DPH electronic calendars on behalf of the CMO.

-Coordinate travel arrangements for CMO and DPH Bureau Director, including coordinating purchasing activities/reconciliation and expense reimbursement for the CMO and Bureau Director, assisting in event coordination as needed for annual and special events, and maintaining and applying current knowledge of all travel and fiscal policies.

-Assist in support activities related to research, such as coordination of conferences, journal clubs, scientific writing work groups, and formatting of standard NIH forms, reports, and manuscripts for publication.

-Perform other administrative duties including attending administrative staff and other special meetings and training sessions to improve collaborative activities between BCD and UWSMPH, assisting Bureau Director with Open Records Requests (ORR), preparing and distributing meeting agendas, attending meetings as requested, taking and preparing minutes for distribution, and creating and maintaining comprehensive files for meeting materials related to BCD and UWSMPH activities.

  • 15% Performs administrative tasks including telephone customer service, word processing, transcribing, filing, and calendaring
  • 20% Acts as the primary liaison for providers or programs and refers stakeholders to providers, agencies, patients, and staff
  • 5% Assists in coordinating the complex daily activities of providers or program(s) by entering information into databases, maintaining files and materials, and preparing reports
  • 10% Serves as the primary contact and subject matter expert for specified program policies and procedures
  • 5% Identifies opportunities for program improvements and makes recommendations to the appropriate entities
  • 25% Schedules logistics and secures or distributes resources for program meetings, department events, conferences, and travel
  • 20% Provides support for schedules and correspondence of senior level employees

Qualifications:

A minimum of 1 year of experience in administrative support or a similar role is preferred.

Additional Information:

This is a 100% on site position, working out of DHS offices at 1 W Wilson and UW Madison offices at 1685 Highland Ave. The successful applicant will possess strong administrative and organizational skills including efficiency, accuracy, adaptability, dependability, and resourcefulness. The position requires considerable independence in planning and implementation as well as confidentiality with protected and sensitive information.
