Description:
The Office of the Provost at Pratt Institute seeks a dynamic events professional to serve as Assistant Director of Ceremonies and Public Programs. This position plays a critical role in the planning and implementation of multiple, high-profile Institutional events at Pratt. The Assistant Director takes the lead in the production and operational aspects of end-of-year events including Commencement, Graduation Fairs, Awards Convocation, Commencement Luncheon (or equivalent), and related receptions, as well as other key events, including Pratt Presents public programs. We are seeking an experienced, dedicated, and energetic individual who is able to work both independently and collaboratively in support of these high-profile public offerings. This position reports to and works closely with the Director of Public Programs, Ceremonies, and Campus Events and will assist the Director in providing general events support to the campus community.

On a typical day you will:
  • Develop, prepare, and oversee operational and logistical items, including event plans, timelines, run of shows, and venue and staging diagrams and liaise with multiple external vendors and consultants
  • Work with other departments and internal stakeholders, in the coordination of complex, high-priority projects, with shared responsibility
  • Along with the Director, work with the Pratt's Communications and Marketing office, to manage the planning and publication of printed and website content for Commencement, Graduation Fairs, Awards Convocation, and Public Program events
  • Coordinate the transportation and safe storage of all Commencement rentals and materials to and from each event


Qualifications:
Education: A Bachelor’s degree is also required (exceptions may be considered in unique circumstances).

Experience: Four or more years of experience with academic ceremonies, event producing, or directly related experience. Experience developing plans for complex, highly visible, public events and ceremonies and adhering to timelines, preferred. Experience implementing complex volunteer and staffing plans including training and managing a large force, preferred.

Skills:
  • Ability to work independently, while developing, implementing and evaluating event programs to assure they meet institutional objectives.
  • Ability to track financial data, make projections and help manage budgets.
  • Excellent interpersonal, oral, written communication, and time management skills, with the ability to draft and compose correspondence and standard reports.
  • Strong vendor management and negotiation skills, strategic thinking and results-driven attitude.
  • Knowledge of Microsoft Office suite, Adobe Creative Suite and other online documents, such as Google Docs.
