Job Description:

The Accountant is responsible for maintaining the official office files, aids in the implementation of new or revised accounting procedures and computer systems, processing and reconciliation of stock gifts and other similar items, processing and reconciliation of various invoices posted by ACH or wire to the bank accounts, maintains Business Office and Treasurer’s Office web sites, reconciles smaller University bank accounts, provides general reporting to campus departments and various other items.

Essential Functions:
  • Assists with implementing and testing changes in Workday and other applicable computer systems.

  • Processes stock gift proceeds and reconciles stock to activity that occurs in the various brokerage, bank, and general ledger accounts on a monthly basis. Computes and allocates interest earned on investments to the restricted and agency accounts when applicable.

  • Reviews and researches brokerage statements in order to identify donors and receive stock proceeds

  • Reconciles the University’s card system to the auxiliary location sales reports and the general ledger. Runs reports from the University’s card system and balance debits used to debits reported by auxiliary locations. Runs annual card system reports for year-end close.

  • Assists with maintaining an organized and accessible filing systems, storage areas, and general files maintained for daily usage.

  • Prepares the necessary audit work papers as assigned during the annual audit process.

  • Aids in the reconciliation of various bank accounts such as those related to credit cards and Paypal.

  • Processes, reconciles and prepares necessary paperwork related to student loans maintained with University Accounting Services.

  • Performs internal audits as deemed necessary by Controller and/or Treasurer. Reconciles various GL accounts which include outside scholarship accounts and Life Income and Annuities. Reconciles various investment accounts related to the investments done by the Controller.

  • Maintains the Tennis Center inventory.

  • Generates general ledger journal entries on a daily basis. Processes recurring monthly journal entries that pertain to items such as settling of due to/from between funds, monthly charges of internal items, and allocating ACH debits or wires such as utilities, etc.

  • Processing and/or reviews departmental transfer entries and provides assistance to campus departments and student organizations related to departmental budget inquiries.

  • Transfers excess loan funds to special bank account set up for federal funds.

  • Prepares and files certain federal, state, and local government reports on a monthly, quarterly, and/or annual basis such as state sales tax, etc. Preparation for payment of certain tax items.

  • Aids with general office counter traffic including Accounts Receivable inquiries, as needed.

  • Maintains Business Office web site and written procedures.

  • Keeps up-to-date on information that affects accounting at W&L through newsletters, conferences, classes, etc. and be able to guide the non-exempt staff on any of these items that affect their areas of responsibility.

  • Additional related duties as assigned.

Work Schedule: M-F, 8:30 am - 4:30 pm

Minimum Pay: $51,989 - Pay commensurate with experience

Minimum Qualifications:

Required: Bachelor’s degree, experience in the use of a centralized accounting system, and one to three years work experience in a business environment beyond a degree. Advanced knowledge and understanding of Microsoft office products, including a thorough knowledge of Excel and Word.
Preferred: Bachelor’s degree in accounting.

Physical Requirements:
  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.

  • Grasping: Applying pressure to an object with the fingers and palm.

  • Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.

Working Conditions: The worker is not substantially exposed to adverse environmental conditions.

Types of Work: Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
