Bard College seeks an Assistant Director of Admission and Event Coordinator with responsibility for organizing department events such as Fall Open House, Immediate Decision Plan and Admitted Students Day, as well as other events as assigned that are either in-person or virtual, or on-the-road or in-house. In addition to event management, this role also performs specific admission counselor functions which inform the event management role, such as conducting interviews with prospective students, greeting admission guests, and answering questions from prospective students and their families via phone, email, or in person. On occasion, this position also represents Bard at local college fairs and school visits.

This is a full-time, in person position based in Annandale-on-Hudson, New York, reporting to the Director of Communications.

Event Duties:
  • Responsible for designing, planning, implementing, and managing customized events, considering past experiences and data driven reports
  • Consult with the Director of Communications in planning event logistics and execution, working primarily with the Senior Leadership Team and with the other offices at the College involved in event setup and event participation
  • Create event setup memos; meet with buildings and grounds, security, food and cleaning services as well as audio/visual for events as necessary
  • Work closely with the Director of Communications to create and manage both in-person and virtual events in the CRM system; checking on registration numbers and advising event marketing Inspect facilities to ensure they conform to event needs;
  • Book appropriate spaces for each event, and order tents and other equipment as needed Assign panelists, tour guide hosts and staff roles for events;
  • Hold event set up meetings, and participate in the physical set-ups and post-event breakdowns of each event
  • Participate in event evaluations to make improvements to future events
  • Communicate with the College at large about Admission events
  • Support the Director of Communications in creating email campaigns to direct event guests before each even and to request their feedback following each event
  • Manage the budgeting and accounting for Admission events
  • Work with the Manager of Operations and Visitor Experience on event support, which includes scheduling campus tours and tour guides, hiring and training of volunteers, and managing specific event tasks as assigned
Admission Duties:

The admission role, as listed below, is pivotal and necessary in informing all admission event planning.
  • Provide information about Bard’s curriculum and co-curriculum to target audiences of students, their families and high/secondary school college counselors and teachers
  • Answer admission questions in the office or via phone or email especially when the Admission counselors are traveling
  • Act as back-up for reading applications as assigned by the Director of Admission
  • Conduct interviews as assigned
  • Represent Bard at college fairs and school visits in the local area as assigned
  • Attend event conferences and keep up with new ideas for Admission events
  • Answering phones and emails
  • Writing emails and event correspondences
  • Speaking to an audience about Bard
  • Assisting both the Director of Admission and the Director of Communications as assigned
Qualifications
  • Bachelor’s degree
  • Minimum of one year of work experience in higher education, preferably as an admission counselor or event planner
  • Experience in event planning and management, particularly with large events (over 1000 guests)
  • Good public speaking and presentation skills
  • Ease in using and learning technology for communication, record keeping, and management of data
  • Experience with Microsoft Office applications and Google Suite Programs Knowledge of Technolutions Slate is ideal
  • Self-motivated with ability to function independently
  • Good writing, communication, and time management skills
  • Work well in an office environment
  • Ability to manage with kindness and professionalism
  • Highly organized
  • Ability to remain calm under pressure
  • Flexible and able to pivot
  • Ability to organize trips, buy tickets, make hotel reservations, and coordinate travel plans
  • Must have a valid driver’s license with a good driving record.
Physical Requirements
  • Lift and carry up to 20 pounds in order to transport material and equipment for events.
  • Available to work evenings and weekends
