The Department of Family Medicine and Population Health is seeking a Fiscal Technician to join our team. The Fiscal Technician will provide day-to-day operational support to process all financial transactions for the Department. As a critical member of the administrative team, we are looking for a full-time Fiscal Technician to begin as soon as possible.

Primary duties and responsibilities will include:



65% Purchasing and general operations
  • Complete and monitor all departmental purchases for faculty and staff including office supplies.
  • Maintain department transaction records ensuring all transactions are managed through the appropriate mechanism according to state, university, and MCVP procurement guidelines.
  • Serve as the department’s primary contact for processing and handling of all procurement issues (sole Sources, etc.)
  • Responsible for the testing and annual update for Agency Risk Management and Internal Control Standards (ARMICS).

15 % Reconciliations and petty cash
  • Serve as the department’s designated petty cash custodian responsible for the safekeeping,maintenance, and proper usage of funds according to all guidelines set by the VCU Accounting area of Treasury Services.
  • Ensure that expenditures are properly processed and posted to Banner and MCV Foundation and are reviewed and reconciled on a regular basis.
  • Research budget variances as necessary to explain and resolve more complex problems and account discrepancies.

10% Records retention and equipment management
  • • Serve as the department’s primary records officer, responsible for all records retention in accordance with policies designated by the state, university, and library of Virginia.
  • Monitor and maintain department equipment inventory including equipment housed across family practices.
  • Perform general annual review of university equipment, ensuring equipment purchased through the higher education equipment trust fund (HEETP) is maintained in accordance with university guidelines.

5% Family Medicine Timekeeping
  • Hold the position of timekeeper for the department fa, making sure that student, faculty, and staff leave is properly reported by established university deadlines.
  • Follow state and university leave policies and guidelines; work with the HR Administrator on more complex issues regarding leave benefits or transactions as appropriate.

5% Risk management (For employees with direct fiscal responsibility)
  • Demonstrates a commitment to risk assessment (considering cost, benefit, and impact) -utilizes identified internal control mechanism -practices routine verification of the accuracy of data.

Minimum Requirements:
• A completed High School Diploma or GED is required.
• Working knowledge of federal and state fiscal policies and procedures.
• At least one year of prior experience using financial recordkeeping and/or procurement
software systems such as Banner Finance or VCU Real Source.

Salary Range: $36,000 - $44,000 annually
