Position Summary:

The Scholarship and Third Party Technician provides daily operational support to the department through a range of tasks including (but not limited to): department mail retrieval and distribution; scanning, filing, and maintaining all third party documentation; assisting in monthly invoicing; processing and reconciling payments; and providing quality customer service to the greater VCU community. Individual and prompt service combined with accurate and timely processing of third party awards will help contribute to the recruitment and retention of talented and diverse students who will graduate at a higher rate than our Quest peers and serve as leaders in a well-educated workforce.

The ideal candidate has a passion for supporting students to success and is looking to gain skills in the finance, accounting, or business fields while in a full time, benefited position that can provide tuition benefits. Typical experience may include coursework in accounting, finance, or business; work in the banking industry, as a cashier, or customer service representative; and/or work in other areas of higher education such as a fiscal technician role.

Core Responsibilities:

● Maintain Imaging System and Filing (60%): Responsible for maintaining and imaging all third party source documentation as well as coding and filing these documents correctly according to procedure.
  • Ensure all source documentation is correctly coded and dated according to procedures.
  • Scan and image all source documentation with 99% accuracy ensuring timely document retrieval.
  • Perform file retrieval and document research tasks.
  • Prepare folders each academic year and box all third party documentation according to the state retention schedule.
● Daily Mail Management (15%):
  • Retrieve, open, and distribute mail in a timely manner and with attention to confidentiality. Both the Student Accounting and SFMC boxes should be checked twice (morning and afternoon) each day.
  • Prepare and code check copies according to procedures to ensure daily check deposit.
  • Distribute mail to appropriate office personnel; reroute mail received in error; and scan workflow documents directly to team members as needed.
● Customer Relations (10%):
  • Correspond and interact with students, parents, faculty, staff, and outside organizations either by telephone, through email, in writing, and/or in person in a prompt, courteous, and professional manner.
  • Answer general phone calls and inquiries when needed and/or assist with answering student accounting emails.
● Third Party Authorizations, Invoices, and Payment Processing (5%): Apply billing authorizations, assist in generating invoices, and process third party payments.
  • Link students’ accounts to third party contractors for the authorized amounts specified by source documents .
  • Assist in creating monthly third party invoices.
  • Process and reconcile check, credit card, and wire/ACH payments from contractors, scholarship organizations, and some alternative lenders and students.
● Other Assigned Tasks (5%): Performs other tasks as assigned including the following:
  • Review listing of past due accounts to refer to the Collection Unit for accuracy.
  • Prepare credit balance audits as requested by management to assist with the escheatment process.
  • Assist Supervisor when requested.
● Risk Management (5%): Demonstrates a commitment to risk assessment considering cost, benefit, and impact in daily operations. Utilizes identified internal control mechanisms and practices routine verification of the accuracy of data/tasks.

Minimum Hiring Standards:


● High school degree or GED.
● Ability to communicate well via email, over the phone, and in person.
● Strong attention to detail.
● Familiarity with working in Windows and web application environments.
● Ability to accurately record and enter data.
● Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.

Preferred Qualifications:

● Bachelor’s degree in progress or completed with coursework in accounting, finance, or business.
● Experience working in the banking industry, as a cashier, or customer service representative; and/or work in other areas of higher education such as a fiscal technician role.
