Job Summary:

The Administrative Assistant will contribute to the Chippewa County Extension Team and provide direct support to the various educational programs delivered and executed from the office.

Supports provided will include but is not limited to:
- Budget and financial management support
- Written communication editing and dissemination
- Arranging meeting logistics
- Database management
- Customer service and support

Responsibilities:

Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision
  • 20% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 30% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • 15% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • 15% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • 20% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

Education:

Required
H.S. Diploma or equivalent

Qualifications:

Required:
- Ability to work in a fast paced, team-work environment maintaining friendly focus on customer service while achieving expected outcomes i.e. quality and productivity.
- Knowledge of and ability to follow general office procedures and standard recordkeeping procedures.
- Experience using various computer applications. Ability to quickly learn new software applications. Basic knowledge of computer functions and operations.
- Ability to learn multiple step administrative procedures.
- Demonstrated skills in building and maintaining professional work environments
- Knowledge and skills to effectively interact with people from different cultural backgrounds, including those associated with race, ethnicity, national origin, religion, socioeconomic status, age, gender, disability, sexual orientation, and other aspects of human diversity

Preferred:
- Ability to follow established procedures in an orderly and logical manner and stick to prescribed routines
without frequent supervision or specific assignment.
- Ability to maintain confidentiality.
- Ability to work independently and identify areas for greater efficiencies within the Office
