A.T. Still University invites applications for a non-exempt Senior Executive Assistant to the Senior Vice President Academic Affairs on the Mesa, Arizona campus. The position provides direct administrative support for the senior vice president, associate vice president, and assistant vice president in University Academic Affairs (UAA). Manages issues for six additional UAA departments: the Office of Assessment and Accreditation, the Teaching & Learning Center, Interprofessional Education & Collaboration, Center for Resilience in Aging, Continuing Education, and Library Services. Interacts with university administration, deans, faculty, students, staff, alumni, and other professionals in the academic community and general public. Must ensure complete confidentiality in matters pertaining to all university business.
Major Job Duties/Responsibilities:
- Monitor and track the Academic Affairs budget and budgets of
the other departments under Academic Affairs.
- Provide administrative support in areas of purchasing,
professional correspondence, scheduling coordination and meeting
planning.
- Maintaining calendars, regularly arranging meetings,
conferences and appointments.
- Collect and distribute mail, track and order office
supplies
- Screen and forward phone calls for the VPs.
- First point of contact for Academic Affairs, directing queries
to correct place/person
- Oversee and approve vacation and medical leave requests
- Provide Zoom support and other technical assistance
- Supervise one administrative assistant who is supporting IPEC,
OAA and TLC
- Update and balance budget variance reports, assist with annual
budgeting process for the office
- Oversee and approve employee time reports
- Coordinate travel arrangements, prepare and submit travel
expenditure forms
- Organize, research and gather data to complete reports,
projects, and presentations, prepare power points, emails, charts,
tables, spreadsheets, etc.
- Support the Council of Deans- attend meetings, record minutes
and keep records, prepare annual report of decisions, actions,
etc.
- Coordinating processing for expense reports, contract
execution, and documentation requiring review and approval by the
Senior Vice President, Associate Vice President, Assistant Vice
President
- Support other university-level committees tied to Academic
Affairs such as UWAC, the Higher Learning Commission Steering
Committee
- Support various Academic Affairs steering committees and search
committees
- Event planning and coordination such as Deans Annual
Retreat
- Maintain and update the content of Academic Affairs
website.
- Microsoft Word, Excel, databases, and proficient computer skills
- Z oom, PowerPoint, Prezi, Google Drive, Docs, Sheets etc.
- Budget management, Budget tracking and management software, purchasing software, Personnel management software(UKG - Ultipro), Scheduling software
- Multiline phone systems, professional call management
- Project management, task organization and prioritization
- Business correspondence: composition, typing, editing, grammar
- Knowledge of standard office administrative practices and procedures
