Governors State University is seeking to hire an Admissions & Records Officer – Analyst. The primary responsibility of the position is to specialize in transfer credit equivalency and imaging of all admissions documents and transcripts, scan and link documents and manage the transfer credits for each student in a timely and accurate manner to support the admission and degree audit processes.

Essential Responsibilities:

30% Process and admit non-degree seeking applicants by verifying previous enrollment and
determining eligibility of admission. Evaluate applicant transcripts, calculate hours
earned, overall grade point average degree(s) awarded, when necessary, identify lower
and upper division credit for admission to desired academic program. Complete
credential evaluation for all majors, academic levels, including GPA calculation,
evaluation of standardized tests including but not limited to
GED / ACT / SAT / GRE / GMAT / PTE / TOEFL / IELTS . Verify regional accreditation of prior
schools attended and applicant’s prior institutional standing. Complete evaluation and
admit or deny applicant based on non-degree seeking application status. After
evaluation, ensure that critical information is forwarded to selected college for
notification. Remove any hold(s) applied to an applicant’s account once condition(s) have
been met. When necessary, review college decision and update computer record of
student and ensure that proper coding is entered to generate the appropriate subsequent
activity including admission generated letters, accurate applicant lists, etc. Upon file
review, ensure that appropriate workflow communication is generated and send to
applicants. This might include applicant deficiencies, credential completion, or other
critical admission material. Maintain professional contact with higher education and
secondary education institutions as needed to decipher records, request verifications,
determine student academic standing, inquire about credit levels and other credential
evaluation issues.

30% Specialize in imaging of all admissions documents and transcripts to capture transfer
coursework data for all applicants to the university. Accurately manage and implement the
scan and link process for all materials related to admission processing, including, but not
limited to applications, transcripts, letters of recommendation, test scores, other
supplemental items for admission and admissions forms to the appropriate student records
in the student information system. Accurately manage and implement the scan and link
process for non-admission materials such as supplemental materials received after initial
admission. Update student records in the student information system.

30% Specialize in the transfer credit equivalency process and accurately manage and execute
this process by using the document imaging system to provide quality assurance and
enter transfer credit onto student records in the student information system with course
equivalencies and start/end dates. Research and troubleshoot course issues related to
transfer equivalences.

5% Keep daily and weekly statistics of applications processed, admission evaluations, and
degree audits completed.

5% Other responsibilities as assigned.

Answer questions from students and other staff via phone and/or in-person when necessary.

Salary Information: $16.28 per hour

A. course work in any discipline as measured by the following conversion table or its proportional equivalent:
 30 semester hours equals one (1) year (12 months)
 60 semester hours or an Associate’s Degree equals eighteen months (18 months)
 90 semester hours equals two (2) years (24 months)
 120 semester hours or a Bachelor’s degree equals three (3) years (36 months)

B. work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

• Experience working in the admissions or records/registration
• Experience with Ellucian Colleague
• Experience with Lexmark (formerly Perceptive/Image Now)
• Understanding of organization-related issues; experience using a relational database, experience with an imaging system, computer proficiency in Windows environment appropriate to position; excellent time management, organizational, and communication skills; ability to complete multiple tasks and high volume of work; mature, professional attitude and appearance; openness to continuing learning and upgrading of skills.
