JOB DESCRIPTION

The University of Indianapolis is accepting applications for an Advancement Specialist. This is a full-time, 37.5 hour, non-exempt staff position.

The Advancement Specialist is responsible for updating information in the CRM (Raiser’s Edge) database and for the data integrity of all alumni, donor, and constituent records. This includes accurately entering the daily receipts of gifts to the University, running daily reports for each gift batch, and completing deposit slips for daily entries. This position requires a highly detail-oriented individual who can learn a highly detailed and complex database with very detailed policies and procedures.

The Advancement Specialist is required to make decisions and judgments involving the proper entry, allocation, and documentation of university gifts and accurately match pledge payments to the correct pledges. This position will also be responsible for creating gift acknowledgments, retrieving, and batching web credit card gifts into a report in preparing for gift entry, and completing various administrative tasks as needed.

Additionally, the Advancement Specialist interacts with donors, to ensure smooth processing of gifts and gift agreements, and assists in completing and distributing planned gift documents and gift agreements to ensure all parties are aware of the gift and the process. This person will collaborate with the appropriate team members within the Office of Advancement, and the University, as needed.

RESPONSIBILITIES
  • Receives, accurately processes, acknowledges, records, and properly documents information relating to all charitable donations in the form of cash, checks, credit cards, online transactions, securities, gifts-in-kind, bank drafts, matching gifts, payroll deductions, etc. to the University from a wide variety of constituents
  • Responds appropriately and professionally within two business days to all requests for information relating to donors with a focus on excellent customer service
  • Responsible for data content and quality control standards as related to gift processing guidelines
  • Maintains policies and procedures to ensure effective and accurate processing and documentation of gifts, pledges, gift agreements, etc
  • Performs a variety of research, fact-checking, and other related tasks to verify information as needed while performing job functions
  • Creates new constituent records as needed
  • Assists in identifying deceased individuals and updating records accordingly
  • Assists in researching lost alumni and other constituents using online resources and databases
  • Identifies inefficient/ineffective processes and implement improvements
  • Assists with donor data-related projects as well as special campaign-related activities and event planning and management
QUALIFICATIONS
  • High school diploma or G.E.D required
  • Proven ability to work with confidential information, processing and reporting financial transactions is essential
  • Advanced experience in Windows-based software packages, including Microsoft Word, Excel, and Adobe. Experience with Blackbauds Raisers Edge and Raisers Edge NXT, and Banner is extremely helpful
  • Strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community
  • Works well as a team member and independently
  • Highly detail oriented with a critical degree of accuracy regarding data entry and analysis
  • Ability to work under pressure to meet deadlines while handling multiple assignments with minimal supervision
