SUMMARY/OBJECTIVE

The Administrative Assistant for Counseling Services and the Senior Director of Health & Wellness is a full-time, 10-month, non-exempt position, providing administrative and clerical support for the Counseling Center and Health & Wellness.

Key responsibilities include but are not limited to providing coordination and support of the general day to day administrative, clerical and operational tasks related to the successful management of the Counseling Center and the Senior Director of health & Wellness. The Administrative Assistant is responsible for providing customer service to students, faculty and staff.

The Counseling Center provides short-term, solution-focused counseling and resource referrals for students, free of charge; crisis intervention, including participation in Flaglers CARE Team, as well as consultation to faculty and staff. The Counseling Center also promotes outreach, seminars, training, presentations and activities for both students and staff and collaborates with campus and community partners.

ESSENTIAL FUNCTIONS:
  • Greet and assist student, faculty, staff and visitors to the Counseling Center in a manner that creates a warm and welcoming environment that ensures students feel safe and secure thereby supporting student retention.
  • Accept, screen and route all calls coming into the Center.
  • Monitor and enhance the Counseling Center waiting area environment, with an emphasis on safety, privacy, and professionalism, while also implementing proper crisis management strategies when necessary.
  • Assist with appropriate paperwork, and resolve routine administrative issue related to office functions using established college policies and procedures, making appropriate referrals as necessary.
  • Prepare special reports, summaries, and/or replies to inquiries by compiling data and statistics from various departmental resources.
  • Maintain current Center flyers, brochures, and general information.
  • Assist with workshops as directed.
  • Maintain accurate databases and oversee the use of Titanium for appointments and clinical record keeping.
  • Assist with the development, management and maintenance of departmental websites.
  • Provide service excellence through courteous, informed, accessible and professional engagement.
  • Maintain confidentiality in accordance with Flagler College policies and those of the Flagler College Counseling Center.
  • Perform other duties as assigned
Qualifications:

Required:
  • High School diploma and prior administrative related work experience.
  • A criminal background check will be conducted.
Preferred:
  • Experience in a higher education and/or clinical counseling setting is preferred.
Knowledge, Skills and Abilities: The Administrative Assistant must possess excellent interpersonal skills and be able to effectively communicate written and verbally in a professional, diplomatic, empathetic and tactful manner. This position requires a highly motivated team-player with the ability to deliver a high level of interactive customer service, develop and maintain collaborative relationships inside and outside of the College, prioritize efficiently, as well as proactively solve problems. The successful candidate is flexible and supportive, has superior organizational skills, the ability to handle multiple projects simultaneously with a great deal of accuracy, as well as proficient computer skills using the Microsoft Suite of Office Applications. The Administrative Assistant must also demonstrate the ability to work well with students, faculty and staff at all levels within a diverse, multi-cultural, collaborative environment. Experience with Titanium Scheduling preferred.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:
  • Sedentary work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects. Sedentary work involved sitting most of the time and occasionally walking and standing.
  • Climbing, walking, crouching, repetitive motions, and ability to communicate appropriately with students/colleagues.
