Job Description
This Executive Assistant for the Kummer College provides professional, high-level direct support to the Dean of the Kummer College of Innovation, Entrepreneurship, and Economic Development and performs a broad array of administrative duties in support of the college. In the performance of duties, the executive assistant will work both independently and collaboratively as appropriate, and exercise initiative, judgement, discretion and confidentiality to relieve the Dean from routine duties, enabling focus to be directed on strategic matters.
Job Functions:
- Provide a broad variety of administrative duties for the Dean and the Kummer College. Greet visitors and receive incoming calls in a courteous and authoritative manner; determine needs, redirect to others as appropriate. Compose and prepare correspondence, replying to emails and other inquiries on behalf of the Dean, some of which involve highly confidential and/or sensitive matters, and serve as a resource person to others within the college. Monitor shared resource email account and forward as appropriate.
- Manage the Dean's calendar and meeting schedule. Determine the Dean's availability for discussions and follow up to ensure timely response. Prioritize and schedule appointments, independently determine importance of requested meetings, and coordinate calendar to accommodate the needs of the Dean. Coordinate travel and accommodations as needed.
- Schedule and make all arrangements for meetings such as sending calendar requests or invites, reserving rooms, and coordinating catering, where applicable. Coordinate communication with committee members and record, prepare, and distribute minutes which may involve highly confidential and /or sensitive materials and situations.
- Assist the Dean in preparing for meetings. Anticipate information needs such as including agendas and itineraries, supporting documents and materials; etc. Arrange information folders and briefs the Dean prior to meetings.
- Research, develop and/or prepare reports, proposals, documents, and presentations for a variety of constituents on behalf of the Dean, which may require synthesizing data or content from various sources into integrated, coherent formats.
- Perform administrative duties for the College to include maintaining files such as HR records, financial transactions and payroll, processing hiring paperwork to include all eRecruit functions, and ordering and maintaining office supplies, etc. Process financial transactions such as paying bills, processing Non-PO Vouchers, reconciling credit card transactions for Kummer College faculty and staff and reconciling accounts.
- Plan, coordinate, prepare and orchestrate execution of special events (retreats, welcome and departure events, recognition awards, special training requirements) and monitor completion of special projects. Follow up with parties as needed.
- Assist the Associate Dean in all above type duties as needed.
- Work with the Fiscal Manager and Executive Director for Development for the college as needed.
- Work with the departments within the college as needed.
- May serve on or lead committees.
- Perform other duties as assigned.
- Initially, you will also be involved in setting up the office for the Kummer College.
Supervision received:
- General direction is received from an executive of a major organizational unit
- Uses practice and precedence to complete assignments of varying degrees of complexity
- Applies knowledge of and experience to complete work
- May serve as an information resource/mentor and/or supervisor of less experiences team members
Minimum Qualifications
Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary .
Preferred Qualifications
- Demonstrated self-starter
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks
- Interpersonal skills and the ability to build relationships with a variety of individuals and groups and maintain a welcoming office environment
- Excellent written and verbal communication skills
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
- Previous knowledge or experience working with PeopleSoft is desired
- Experience working in higher education is preferred
