Brief Summary of Work for this Position

The Benefits Coordinator position provides specialized assistance in the Human Resources Department, focused primarily in benefits and medical leave administration. The Benefits Coordinator provides broad and complex support to the Employee Benefits Counselors within Human Resources.

Responsibilities:
  • Provides routine assistance and back-up to all areas within the benefits unit; including, but not limited to: health benefits, workers’ compensation, retirement plan benefits, employee leaves, Family and Medical Leave Act ( FMLA ), ADA / ADAAA compliance, filing and scanning of employee records.
  • Serves as a first point of contact for basic benefits questions and issues for a diverse population among multiple benefits plans and options, escalating when necessary to the Benefits Counselors.
  • Assists with completing benefit enrollment transactions as needed, using related systems (Banner, Orbit, Benefit Focus, and other external benefit vendor websites.)
  • Produces a variety of monthly reports independently and provides analysis.
  • Works with Benefits Counselors to obtain information for compliance reporting.
  • Assists with annual open enrollment.
  • Communicates with employees regarding their needs for leave.
  • Assists with handling the leave administration process from the employees’ initial notice to the return to work. This includes gathering and completing required paperwork and requesting medical documentation (if appropriate) for Family and Medical Leave Act ( FMLA ), Disability leave, Workers Compensation, and other applicable leave types.
  • Maintains complete and accurate records of leave and accommodation requests.
  • Maintains confidentiality of all employee files, medical documentation, and complies with state and federal regulations, as well as University policies and procedures.
  • Assists with Worker’s Compensation Injury and Illness Recordkeeping.
  • Coordinates file review with Benefits Counselors ensuring all required documentation is present and complete. Follows up with employees as necessary.
  • Performs other duties and special projects as assigned.
Minimum Education and Experience Requirements

Graduation from a four year college or university; or an equivalent combination of training and experience.

Preferred education, professional skills and experience
  • A minimum of two years experience in a HR generalist or HR benefits role
  • Must demonstrate strong organizational skills and ability to work independently with attention to detail
  • Strong Excel skills required
  • Strong computer skills are required (Microsoft: Word, Excel, PowerPoint, Teams, SharePoint, Zoom; etc).
  • Experience with HRIS systems, such as Banner, preferred
  • Must be able to maintain a positive professional problem-solving demeanor, during sometimes-stressful situations; maintain confidentiality and privacy; effectively manage deadlines and multiple, competing priorities; and able to communicate effectively verbally and in writing with a diverse community of faculty, staff, students and visitors.
