We are currently seeking to fill our Payroll Specialist position at the Philadelphia campus with a highly qualified and passionate individual.

Summary:
The Payroll Specialist is responsible for processing the accurate and timely processing of payroll for PCOM under the direction of the Payroll Manager. This individual works closely with Human Resources, other departments within the College, and an outside service provider. The Payroll Specialist also serves as a back-up to the Payroll Manager. This position is responsible for daily cash reporting and verification of cash transfers. Finally, this position provides back up to Financial Operations Coordinator related to tenant billings and accounts receivable management.

Essential Duties and Responsibilities:

Payroll Processing
Responsible for maintenance and administration of the timekeeping system (Kronos).
Trains new timekeepers in timekeeping software (Kronos) and provides updates and training to all timekeepers on new processes.
Trains and assists supervisors and managers on process of approving time.
Researches and resolves issues related to data within the timekeeping system for payroll processing.
Manages interface between timekeeping system (Kronos) and internal payroll processing system (Banner).
Payroll Processing
Verifies new employees are properly entered into the payroll, including student workers and federal work study students.
Processes instructional vouchers ensuring accuracy and compliance.
Reviews and verifies for accuracy any changes to employee rates, hours, and deductions, including benefits, PTO requests, payroll taxes, and other garnishments.
Processes payroll within the payroll system (Banner).
Manages data interface between payroll system (Banner) and outside service provider for payroll tax processing (ADP).
Payroll Deduction Processing
Manages deduction payments utilizing the eProcurement system (pay garnishments, insurances, etc).
Manages online payments for employee child support garnishments.
Responsible for backing up all duties of the Payroll Manager

Cash Reporting
Prepares and distributes daily cash report (excel spreadsheet) from online banking platform.
Reviews and verifies for accuracy of ACH and wire transfer requests, then processes the requests within the online banking platform.
Backs up the Financial Operations Coordinator with daily cash posting in the general ledger.

Tenant Billing
Backs up the Financial Operations Coordinator with processing the monthly rent invoices for tenants in Banner
Assists with follow up on any tenant delinquencies

Education, Training, & Experience

Required
Integrity and sound judgement, excellent communication skills, and the ability to effectively and professionally work with administration, faculty and staff.
Extremely reliable and has demonstrated experience meeting deadlines.
Ability to maintain an extremely high level of confidentiality in dealing with sensitive information.
Must be detail oriented, accurate and thorough in the planning and implementation of work tasks.
Ability to work independently; to multitask and prioritize; to reconcile discrepancies to ensure accuracy; and to be flexible in adapting to changes in priorities and assignments.
Knowledge of and experience with Payroll software systems. Demonstrated knowledge of payroll taxes, laws, and regulations.
Proficiency in Microsoft Office applications and financial accounting processes and systems.
Must be resourceful and flexible in using available resources and technology in the most efficient manner; must be highly adaptable to technological change.
3-5 years of payroll processing experience.

Preferred
Experience with payroll and accounting in a higher education/nonprofit organization highly desirable.
Experience and expertise in the Banner software is highly preferred.
Experience with Kronos timekeeping system is preferred.
Bachelor’s or Associate’s degree is preferred.

Certifications, Licenses, Registrations:
Payroll certification is preferred.
