Primary Duties and Responsibilities:

Job Title: Student Accounts Manager

Department: Administration and Finance

Reports to: Controller

Status: Full-Time, Benefit Eligible

Location: Lisle Campus

Position Summary: Facilitates the coordination of billing and collections of the student accounts. Provide students with accurate information regarding payment plans and status of accounts. Supervise all personnel in the Business Office.

Essential Job Responsibilities:

1. Provide counseling and information to students, employees, former students, and non-University affiliates on repayment plans and financial planning for the collections of campus-based student loan accounts and delinquent accounts receivable, by responding to written correspondence, telephone and personal inquiries from loan recipients, debtors and University departments.

2. Establish policies and procedures for payment posting, tuition/fee adjustments, financial holds; monitor and control all anomalies, underpayments and excessive outstanding balances; develop and/or assist in the development of general operating goals, objectives, policies and procedures.

3. Oversee the supervision of all Business Office staff and student workers, which includes work allocation, training, and problem resolution; evaluates performance and makes recommendations for personnel actions; motivates employees to achieve peak productivity and performance. Review weekly refunds.

4. Manage payment processing website. Review and create payment plans, investigate anomalies. Act as point of contact for troubleshooting. Update payment site, Business Office webpage, and office forms as needed. Update literature for University events.

5. Supervise, develop, evaluate and execute the collection, scheduling, research, analysis and distribution of receivable account invoices and tuition funds.

6. Remain current on university admissions requirements, scholarship requirements, accounting standards, academic program requirements, content, procedures and support services. Periodically review with staff all requirements and changes as needed. Assist in preparation and publication of institutional reports and printing materials in response to requests regarding the university, university services, course offerings, registration procedures, financial aid, financial arrangements, and individual account maintenance.

7. Oversee the Financial Appeals Committee, investigate appeal claims, and provide updates to the student regarding decisions made.

8. Generate, audit, and prepare 1098T tax forms for students by federal deadline. Remain current on new regulations and processes. Collaborate with IT to ensure process is running correctly and meets federal standards. Report any changes to IRS in accordance with federal policies.

Other Functions:

Act as backup to Accounts Receivable Representative, Collections Specialist, and Tuition Counselors in their absence.

Act as institutional contact for the collection of Federal Perkins loans and remain current on federal regulations and implementing changes as required. Relay relevant information to staff.

Attend new student orientations as needed.

Other duties as assigned.

Required Qualifications:



Education: Bachelor's Degree Required

Experience: Three to five years financial experience, working with a diverse population preferably within a college or university setting, required.

Specific Skills: The ability to work and make decisions independently; initiate projects; customer service skills; high-level organizational skills, writing skills; data entry skills, database management skills; be able to maintain a high degree of confidentiality.

Specific Knowledge, Licenses, Certifications: Yes Knowledge of student account procedures, standards, and documentation; knowledge of credit and collection principles, proccesses, regulations, and standards; proficient with Microsoft Office products; some knowledge of Perkins loan procedures and regulations as well as some Financial Aid preferred.

Physical Requirements:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to touch, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Use of computer screen, phone and customer service. May require bending, or sitting for long periods of time. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Training: Must complete all trainings required by Benedictine University.
