The department of Athletics at West Virginia University is currently accepting applications for an Assistant Athletics Director for Business Operations.

This position assists the Executive Senior Associate Athletic Director with the overall management of the athletic business office which includes all business operations, travel, accounts payable and receivable, purchasing, budget management and control, ticket office and foundation reconciliation, payroll and inventory control.

What You'll Do
  • Assist in development of the annual revenue and expense budget for intercollegiate athletics which is in excess of $-90 million. Assist in the preparation of the financial pro forma for intercollegiate athletics
  • Manage the athletic budget on a day to day basis and proactively monitors the budget through monthly meetings with coaches and selected unit managers.
  • Provide personnel oversight of the Athletic Business Office. Supervise the Director of Business Operation (1), Business Manager (1), Anthony TravelTravel Manager (1), Travel Coordinator (1) . (1). Delegate and prioritize administrative duties and other responsibilities, monitor work schedules and leave requests; responsible for hiring, training and evaluations.
  • Responsible for the reconciliation of revenues and expenses for facilities rental and lease agreements; works in conjunction with Facility Management on all related charges to Athletic Facilities and prepares and processes IU’s.
  • Work with the Minor League baseball account- serve as the point person to reconcile the capital expenditure fund, review and verify the ticket surcharge, process, review all IU’s, expenditures, revenues, and settle year end payments, and work with Milb on capital improvements to the facility.
  • Oversee reconciliation of team travel budgets process.
  • Run reconciliation reports as necessary.
  • Oversee the reconciliation of PCard transactions.
  • Oversight for the reconciliation of Game Day Expense spreadsheets.
  • Responsible for writing, updating, and disseminating Athletic Departments policies and procedures manual electronically (web-based). Ensure said policies are consistent with institutional, state, federal, Big 12 Conference and NCAA requirements.
  • Initiate, maintain and organize electronic filing system consisting of correspondence, confidential materials and travel information and receipts. Maintain and monitor confidential files for student-athletes, prospective student-athletes, and employees. Manage sensitive and confidential information related to student-athletes, coaches and staff utilizing discretion and correct decisions. Failure to use proper discretion at required level could result in major and significant embarrassment to the University and/or have a significant impact on image, revenues and eligibility of student-athletes.
  • Forecast budget requirements and obligations to ensure maintenance of adequate funding.
  • Oversight/Preparation of data and populate both the Federal (Department of Education/EADA) and NCAA Agreed Upon Procedures (AUP) reports
  • Assist in the development of the long term capital plan for intercollegiate athletics.
  • Assist in the overall management of facility capital projects as needed and directed by the Sr. Associate Athletic Director.
  • Serve as the back-up budget officer for intercollegiate athletics including the accounts held by the WVU Foundation.
  • Serve as contract administrator for specified service contracts with vendors.
  • Serve as back-up contact with various university offices and departments as directed by the Exec.Sr. Associate Athletic Director.
  • Serves as department liaison with external, internal and legislative auditors.
  • Develop, prepare and present reports as needed to various groups both internal and external to the University.
  • Maintain knowledge and comply with all rules, regulations, policies and guidelines of West Virginia University, the Big 12 Conference, and the NCAA. Must adhere to NCAA Bylaw 11.1 Conduct of Athletic Personnel. Failure to adhere to these policies will result in appropriate disciplinary action including possible suspension and termination.
  • Represent the University on the highest professional level with dignity, integrity, and strength of character and will exhibit ethical behavior. Must respect the rights and dignity of individuals with sensitivity to problems that may arise from racial, ethical, and sexual orientation differences.
  • Demonstrate a cooperative attitude towards all sports and units within the intercollegiate athletic program.
  • Possess the ability to adapt to any situation, make decisions and work independently; position must have the ability to build and maintain relationships with student-athletes, coaches, staff members and contractors; required to use creative abilities to develop new techniques and approaches in dealing with many issues controlled by this position; responsibilities of the position are ever-changing and require constant research and education; requires the ability to adapt to any situation and make decisions.
  • Faithfully and diligently execute related duties of the Department of Intercollegiate Athletics, as requested or assigned by Athletic Business, Compliance, or Sports Administration office.
  • Manage professional and personal time to be handle time sensitive-issues, tight deadlines, extended hours beyond the normal workday, weekend work, and on-call availability.
Qualifications :
  • Bachelor’s degree is required. Degree in business, accounting, or finance is preferred.
  • A minimum of five (5) years of experience involving:
    • Previous experience working in a college or university athletic business office or a university business setting, preferably at the Division I level.
    • Knowledge of NCAA rules and regulations; computer literate, exceptional organization abilities and strong communication skills.
    • Progressively responsible experience within accounting, finance or related field.
    • Experience with and/or knowledge of drafting agreements and labor standards.
    • Experience with and thorough knowledge of sports.
  • Maintain high standard of ethics and integrity related to intercollegiate athletics.
  • Demonstrated knowledge of NCAA Division I intercollegiate athletics.
  • Demonstrated knowledge of NCAA and conference guidelines, policies, rules and regulations with the ability to interpret, apply, enforce and explain such policies and rules.
  • Maintain knowledge of state and University policies and procedures.
  • Exhibit strong creative, organizational and interpersonal skills.
  • Demonstrated knowledge of correct English, grammar, spelling, punctuation and sentence structure.
  • Demonstrated ability in public speaking skills.
  • Demonstrated ability to function professionally under high stress and confrontational circumstances.
  • Demonstrated ability to manage multiple tasks for extended period of time.
  • Demonstrated ability to independently plan and organize work.
  • Proactive attitude towards work and assignments.
  • Demonstrated ability to maintain and develop personal contacts with outside groups, i.e. student-¬athletes, professional representatives, fans, media, donors, University community.
  • Demonstrated interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Demonstrated knowledge of record keeping and adherence to schedule.
  • Ability to stay abreast of information impacting the affected area.
  • Ability to maintain proper unit attendance and punctuality standards, work extended hours including nights and weekends.
  • Ability to make administrative I procedural decisions and judgments.
The ability to travel to WVUs regional campuses and/or within the multi-state area is required.
