Woodbury University invites applications for the position of Academic Affairs Coordinator to support the Sr. VP of Academic Affairs (Sr VP,AA) ensuring regular and consistent progress toward achieving the university mission.  This position provides leadership in curriculum, coordination of academic course scheduling, university catalog and special programs. 

This position qualifies for University sponsored employee benefit plans and programs (e.g., group health insurance, life insurance, tax deferred annuity plan, annual vacation, sick, and paid holidays), subject to the eligibility requirements and conditions of each plan and program.   

 

Responsibilities

  • Academic Scheduling—Plan, develop and direct the implementation of campus wide classroom scheduling automation. Utilizing a new technology, streamline course scheduling along with classroom equipment and fixtures providing consistent protocols for space.  Lead the training of faculty and staff. Serve as back up for colleges needing support for all scheduling needs.
  • University Catalog—Coordinate the development and production of the University catalog with all stakeholders within the university. Edit the university catalog as prescribed by responsible departments and maintain accurate, up to date information in the catalog.
  • SOAR—Plan, develop and direct a comprehensive student orientation program in collaboration with Student Affairs and Office of Admissions. Oversee the Placement Exams.
  • Event Planning—Coordinate the end of year Award Ceremony and Graduation Dinner; serve on the Graduation Committee; collaborate with the President’s Office to plan the 4.0 Luncheons for the Fall and Spring; handle logistics and scheduling for any WSCUC visits.
  • Administrative Tasks—take minutes at Deans Council meetings; manage the Academic Affairs email inbox (disburse emails to appropriate individual/office); assist with approving invoices, reimbursements, stipend requests.
  • Other duties as required (not to exceed 10% )

 

Qualifications and Requirements

  • Bachelor’s degree in a related field or equivalent required.
  • Minimum five years of progressively responsible experience, preferably in higher education.
  • Microsoft Word, Excel, and database computer skills.
  • Ability to work well with a diverse community of faculty and staff.
  • Excellent verbal, written, and interpersonal skills, plus superb listening skills.
  • Technical knowledge of pertinent personnel laws.
  • Must be able to work effectively with administrators, faculty, support staff, and external constituencies.

Physical Requirements

  • Close vision, hearing/listening, and clear speech.
  • Manual hand/fingers dexterity.
  • Walking, lifting and carrying up to 25 pounds.
  • Ability to utilize office equipment such as computers and copiers
  • Combination of sedentary work, kneeling, stooping, bending, sitting, squatting, standing, etc.
  • Works with/around and has verbal and face-to-face contact with others.
  • Works indoors in an office environment majority of the time. 
  • Simple to complex reading, writing, clerical, and math ability.
