Purpose of Position
Provides administrative support to the Kentucky Center for Mathematics.
Primary Responsibilities
The Administrative Specialist will provide daily administrative and program support for all staff, programs, Kentucky teachers and contractors for KCM, including support for KCM’s annual conference with over 600 attendees. This support will consist of pre, during, and post event program duties, which includes setting up events utilizing our web-based program, ordering supplies, travel arrangements, printing and other logistics for program support.
Duties include but are not limited to:
Administrative support for events planning, set up and logistics. Daily contact with KCM staff, P-16 Kentucky teachers, external trainers and contractors.
Registrations within web-based database, communications with attendees, room reservations, room set up, participant hotel reservations across the state, etc.
Assist KCM staff, Grant PI’s and external facilitators on various training site logistics, in addition providing communication of these logistics to all participants for each training.
Coordination of materials production, shipping and copy orders.
Assist program leaders/facilitators with program attendance in web-based database system, follow-through on data entry, certification creation and distribution for all participating teachers for all programs (P-16 Kentucky teachers).
Troubleshoot external teacher inquiries by phone or email regarding program registration and logistics.
Work collaboratively with the Admin Assistant and Business Officer regarding financial related transactions, and the necessary compliance that is needed for said transactions.
Backup support for SAP transactions (time administration, purchase requisitions, vendor set up, check deposits, etc).
Qualifications
Requires the ability to use Microsoft Excel and Word.
This position requires physical labor (lifting boxes) and is 100% in person.
A working knowledge of SAP would be helpful but not required.
Team player, strong interpersonal communication and organizational skills are necessary.
Any candidate who is offered this position will be required to go through a pre-employment criminal background check as mandated by state law.
