Job Description:

Office of Residence Life

The Office of Residence Life is seeking a dynamic and organized colleague to fill the position of Operations Coordinator. The Office of Residence Life in alignment with Fairfield’s Jesuit and Catholic mission provides a safe, welcoming, and efficiently run residential community. The Residential Life Operations Coordinator is the first point of contact and is responsible for assisting in the planning, management, and operations of all housing processes. The position requires strong customer-service skills, assertive leadership and communication skills and the ability to work on a team. In addition, this position takes appropriate actions to support a diverse workforce and participates in efforts to create a respectful, inclusive, and welcoming work environment. This position provides administrative support to the Office of Residential Life under the supervision of the Director of the Office of Residence Life and Senior Associate Director for Housing Operations.

Key Responsibilities

Central Office Support and Organization Office
  • Welcome visitors and answer phones; providing information/answer inquiries.

  • Respond to all email/voice messages in a timely manner

  • Monitor Residence Life webpage

  • Develop standard operating protocols for the Office of Residence Life Front Desk

  • Coordinate hiring, training, and front desk scheduling of student office assistants in collaboration with the Office of Student Engagement

  • Provide administrative support within the central office

  • Coordinates reception of daily mail

  • Refer and forward information to the Office of Student Engagement regarding International Students, New Student Orientation, COSO/FUSA, and other Student Engagement Initiatives

  • Orders office supplies for the main office as needed

Housing Operations
  • Work closely with the Senior Associate Director on housing assignments and operations

  • Processes all room changes in Banner and the Housing Director software

  • Works closely with the Bursar's office for student billing

  • Processes workflows from Academic Affairs and Registrar’s Office including but not limited to study abroad, voluntary withdraws, and medical withdraws

  • Updates and distributes weekly housing status reports and room changes

  • Manages and facilitates lock changes with facilities and updates in Banner

  • Maintains key room and periodically performs master key audit quarterly and full key audit yearly

  • Serves as liaison to U.S. Census Bureau and coordinates monthly census

  • Maintains and updates internal documents including live-in staff directory, Resident Assistant and Commuter Peer Assistant Directory

  • Coordinates keys for Resident Assistant, Graduate and Professional Staff

  • Communicates Resident Assistant Benefits to Financial Aid

  • Assists in the coordination of hall opening and closing procedures at the beginning and end of each semester

  • Conducts assigned responsibilities associated with checking in/out of students and other administrative processes related to early arrivals

  • Other duties as assigned

Promotes safe and secure working conditions
  • Promoting the proper utilization of equipment, staff and materials

  • Reporting immediately unsafe working conditions to supervisor.

Requirements:
  • Must be able to perform all responsibilities and functions of the position

  • Possess assertive leadership skills and ability to work in a team setting

  • Possess effective communication skills in order to successfully perform work orders and tasks within the team.

  • Strong customer service skills (must be easily approachable, friendly, and able to establish rapport and communicate effectively with students, parents, and other stakeholders)

  • Ability to use authority with discretion and exercise good judgment.

  • Commitment to and experience in working within a diverse community

Qualifications
  • Bachelors Degree preferred

  • Driver’s license required

  • 2-3 years of related experience in higher education or relevant experience

  • Proficiency in Microsoft Office suite and Outlook Email/calendaring system

  • Knowledge of Dropbox and Quip

  • Working knowledge of Ellucian Banner, Workday, Adirondack Housing Director software, SchoolDude work order system, and Maxient systems a plus

  • Strong written and verbal communication, interpersonal, organizational and time management skills
