Coordinator of Faculty/Staff Hiring & Operations Support



Position Summary:

The University of Dayton School of Education and Health Sciences (SEHS) is seeking a Coordinator of Faculty/Staff Hiring & Operations Support. This integral and challenging role will play an important role for the school in management of the unit-wide faculty & staff hiring, providing support for the SEHS budgets and business operations and support for the faculty promotion and tenure processes.

Provides administrative and operational support for the faculty and staff hiring processes in the School of Education and Health Sciences (SEHS). Partners with the SEHS Director of Budgets and Operations to support SEHS business operations.

1. Management of Unit-Wide Faculty & Staff Hiring:
Responsibilities include:
(I) Collaborating with department chairs and finance personnel to support program hiring as needed;
(II) Serving as liaison to the Office of Legal Affairs and Office of the Provost and Human Resources for faculty and staff recruiting;
(III) Serving as SEHS subject matter expert on applicant tracking system;
(IV) Supporting talent acquisition benchmarking, data analysis, and KPI tracking to foster a climate of organizational excellence and continuous improvement in faculty recruiting;
(V) Reporting regularly to SEHS Associate Dean and Budget & Operations Director on status of open positions.

2. Administrative support for SEHS Budgets and Operations:
Responsibilities include:
(I) Supporting SEHS budget and operations tasks such as: Coordination of annual graduate assistant contracts and external graduate assistant invoicing, purchasing activities. Participate in space planning and asset tracking. Provide support for business processes to ensure effective and efficient operations. Identify opportunities for improving processes. Resolve issues directly or in consultation with SEHS Director of Budgets and Operations. Initiate departmental financial and personnel transactions with approval.
Ensure accuracy of data recording and tracking in applicable systems as delegated.
(II) Provide support for completion of projects and business plans, including research, data collection and analysis. Summarize recommendations and conclusions.

3. Support for faculty promotion/tenure and related processes:
Responsibility for:
(I) tracking related action items for promotion and tenure,
(II) sabbaticals,
(III) annual reviews,
(IV) related employment actions.

Minimum Qualifications:

• Bachelor’s degree in area related to education, human resources, public or business administration; (or proven record of success of 5 years’ experience in similar role)
• Successful experience with project management;
• Ability to work independently;
• Strong organizational skills;
• Proficient with MS Excel, Google Suite and applicant tracking systems;
• Strong writing skills;
• Strong interpersonal skills.
• Ability to work in fast-paced, detail-oriented context.

Preferred Qualifications:

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:

• One more years of higher education experience;
• Demonstrated experience in talent acquisition and academic faculty coordination;
• Experience with Cognos, PageUp and Banner

Special Instructions to Applicants:

A federal court on December 7, 2021, issued a ruling that suspends the COVID-19 vaccine requirement that applies to federal contractors nationwide. With this development, the University will pause any enforcement action against employees who have not complied with the requirement to be fully vaccinated by Dec. 8, 2021 or to have requested an exemption to maintain their employment status.

The University will continue to monitor the state of the pandemic on campus and in the community as well as developments in federal and state requirements, and also will continue to regularly consult with public health officials and our medical panel.
