A.T. Still University (ATSU) is seeking a non-exempt Alumni Relations Coordinator on the Kirksville, Missouri campus. The position reports to the Director of Alumni Relations. The Coordinator provides operational support to the Alumni Relations department through frontline communication, internal and external process documentation, collaboration with various constituencies, and system records and digital resources maintenance.

Major Job Responsibilities
  • Manage incoming communication (multi-line phone, email), respond to routine inquiries in a timely manner with professionalism, and forward more complex issues to leadership or other appropriate parties.
  • Track event registrations and attendance, compile registration forms, research discrepancies to clean up records, and maintain process documentation.
  • Maintain and support the online alumni resources, portal requests, online job board, web page, and other digital content.
  • Maintain a working knowledge of budget allocations to aid in processing payments and managing expenses.
  • Monitor inventory of office supplies and promotional items.
  • Transcribe minutes/notes and provide support for all alumni association board meetings.
  • Provide support for event coordination, assist with venue research, track approval of contracts and BEOs, prepare event name tags and check-in documents, and manage system coding.
  • Extract data, compile reports, and support the department's strategic communication strategies.
  • Maintain standard operating procedures and consistently document records related to job responsibilities.
  • Organize digital records to ensure consistency and ease of shared access within the department.
  • Assist with preparing presentations or print materials for meetings, events, etc.
  • Under direction, coordinate the ordering process of awards (KOAA Honors Excellence and other alumni awards, outgoing board member gifts, honorary certificates, etc.)

  • High School plus two-three years college required
  • Communication etiquette
  • Writing and proofing skills
  • Knowledge of budget management
  • Knowledge of event planning
  • Strong communication skills evidenced across various mediums
  • Effective multi-tasking and teamwork abilities
  • Advanced organization and time management skills
  • Digital fluency, including knowledge of standard office software and comfort adapting to technological advances
  • Higher education experience highly desirable

On rare occassions, work may involve night or weekend hours to support alumni board meetings or event staffing. Hours will be adjusted accordingly to maintain a 40-hour work week.
