Working Conditions/Physical Requirements: Work is indoor and sedentary in nature.

Duties of Position: Responsible for initiating and supervising the development of the master class schedule, schedules all academic classroom facilities. Assists with the oversight of class-assigned faculty, maintains various related data bases including College course fees. Schedules academic spaces on all Harper campuses. Administers student evaluation process for faculty

Initiates and supervises the development of the master class schedule each semester, ensures accuracy of the schedule and maximum utilization of classroom facilities. Rolls the class schedule each term. Ensures a uniform collegewide appearance of the schedule including section comments, cancellation notifications, and room change information. Implements schedule policy as set by academic deans and the Provost/Associate Provost of Curriculum and Instruction.

Schedules all academic classroom facilities for the use of classes, exams, conferences, meetings and other requests. Develops and interprets facilities policy and maintains, refines and implements the facilities management software. Serves on college construction and facilities committees as needed. Keeps up to date identical records in both the Student Information System and room scheduling software.

Provides academic divisions with division room priorities Enforces priority room procedures (as approved by academic deans/provost/associate provost) during the schedule-building time for a semester. Ensures that every section on the schedule has a room assignment.

Administers student opinionnaires, tabulates reports by department areas and distributes to academic divisions. Archives student opinionnaire records and communicates with faculty and deans on evaluation process and timeline.

Coordinates with Accounting Services the chart of accounts for academic departments and the course master file, and other ICCB reports.

Works with the Business Office/Student Accounts to assign proper fees for specialty programs (dual credit, apprenticeship cohorts, corporate sections.).

Prepares exhibits for approval by the Board of Trustees as needed including the annual Course Fee Changes and the academic calendar.

Works with the Registrar’s Office on the development of important student dates: refunds, midterms, withdrawals, final exams. Responsible for the development and appropriate distribution of the Final Exam Schedule each semester.

Ensures courses offered via the ILCCO network, Internet Course Exchange are correctly scheduled and coded in the Student Information System. If needed, can act as liaison between the DOIT coordinator (site supervisor), department chairs/coordinators, and division office schedulers to ensure seat management.

Assists Information Technology regarding problems arising with class schedules and.Payroll. Tests software updates and ensures smooth transitions to new institutional software packages affecting registration and rooms.

Assists the Registrar’s Office regarding problems arising with class schedules, prerequisites, cross-listings, etc.

Serves as a standing member of the Shared Governance Facilities Committee, and other appropriate College committees as they pertain to facilities management.

Provides support to the division schedule coordinators in the inputting of the academic schedule of courses and activation and assignment of faculty to sections. Assists with payrollissues as needed, working with the Payroll department to ensure Fusion/Banner interface is correct. Conducts regularly scheduled training sessions with division scheduling coordinators.

Teaches Academic Operations Managers the setups in the Student Information System regarding sections, coding, schedule proofing, and faculty assignments/payments/contact hours.

Assists the University Center with room scheduling for on-campus classes for four universities as needed.

Performs related duties as assigned including special events, reports, and projects.

Educational Requirements: Bachelor’s degree required.

Experience Requirements: Minimum three years’ experience with classroom scheduling and or curriculum at an educational institution preferred. Familiarity with PC software and database maintenance required. Must have excellent spelling and proofreading skills, expert knowledge of capitalization, punctuation, and grammar rules, and be very detailed-oriented.
