Office of the University Registrar

JOB SUMMARY:

The Associate Registrar for Registration & Records oversees the registration and records functions of the Office of the University Registrar. The AR-RR works with the University Registrar to ensure proper student records are maintained in compliance with University policies and state and federal regulations.

REPORTS TO: University Registrar

RESPONSIBILITIES & DUTIES:
  1. Oversees the student registration system, including the setup and maintenance of related tables in the University's student database.
  2. Oversees the maintenance of the academic records for all current and former students.
  3. Supervises the production of transcripts and provides system support and maintenance for the transcript ordering system.
  4. Oversees the graduation clearance process and provides maintenance for all graduation support systems, including the graduation clearance module and all graduation tables in the student information system.
  5. Supervises the verification of enrollment and degrees and provides system support and maintenance for the verification system.
  6. Oversees the operations at the customer service counter.
  7. Coordinates the work assignments of the student workforce.
  8. Supervises Veterans' Affairs certifications.
  9. Provides system support and maintenance for the document imaging system.
  10. Assists the University Registrar in developing office policies and procedures for registration and records operations.
  11. As a member of the office's leadership team, provides leadership and develops recommendations for implementing technologies in support of enhanced services.
  12. Resolves student, faculty, and administrator concerns.
  13. Represents the University Registrar and acts on behalf of the office as requested.
  14. Performs other job related duties as assigned by the University Registrar.

REQUIREMENTS (Knowledge, Skills and Abilities):
  1. Strong interpersonal and customer service skills; knowledge of customer service based operations.
  2. Ability to prioritize workload according to volume, urgency, etc.
  3. Ability to conduct basic data analysis.
  4. Excellent verbal and written skills to communicate effectively with a wide range of constituencies.
  5. Strong computer skills and extensive experience with technology solutions for managing academic records.
  6. Excellent organizational skills.
  7. Attention to detail and dedication to accuracy.
  8. Adherence to strict confidentiality.

EDUCATIONAL/EXPERIENCE REQUIREMENTS:
  1. Bachelor's Degree required.
  2. Master's Degree preferred.
  3. Minimum of three years of job-related experience required.

  1. Academic Progress Specialist (2).
  2. Administrative Assistants (3 FT and 1 PT Local 153).
  3. Hourly Employees (2).
