Administrative Assistant, Social Justice Center

The Administrative Assistant for the Social Justice Center provides timely, human-centered, and accurate support for a range of administrative and programmatic needs for the Vice President for Equity & Social Justice and Director of Operations, Social Justice Center.

Responsibilities:
  • Provide administrative support and office management for the Social Justice Center, serving as a first point of welcoming contact for visitors, answering phones, responding to emails, and triaging requests, while honoring the privacy and human dignity of each individual and representing the values of equity and social justice in each interaction.
  • Provide logistical support for programs and events, including space arrangements, facility reservations, catering, and agenda production and distribution, as needed.
  • Maintain records, notes, and documentation of division goals and priorities for meetings using appropriate discretion, including strategic planning and action items. Keep the VP/DO apprised of upcoming agenda items and deadlines. Actively engage and participate in team gatherings.
  • At the direction of the VP and DO, update websites, design poster campaigns, and maintain active presence on social media accounts, ensuring all communications are approved and in alignment with SJC values and practice areas.
  • Maintain a complex calendar for VP, ensuring communication around priority meetings and events. Under supervision from DO, manage division calendars for staff meetings, retreats, and gatherings as needed.
  • Ensure timely and accurate accounts payable processing, including paperwork and invoices in Workday.
  • Provide support to DO for hiring and supervision of student employees, coordinate staff search and hiring processes and onboarding of new employees.
  • Order and maintain organized supplies for the Center.
  • Contribute to supporting programs and collaborations across the division, including the Elma Lewis Center for Community Engagement and Healing & Advocacy Collective, as needed.


Qualifications:
  • Bachelor's Degree or equivalent experience.
  • 3-4 years of administrative experience, preferably supporting an executive-level administrator.
  • Commitment to values that center human dignity, equity, and social justice, including anti-oppression and harm-reduction frameworks, and trauma-informed and liberatory practices.
  • Strong written and oral communication skills and the ability to discern matters that require high levels of privacy, integrity, and discretion.
  • Knowledge and experience working with various social media platforms, website development, and graphic design programs, including Adobe Creative Suite and Canva.
  • Knowledge and expertise working with various Google Suite and Microsoft Office platforms, e.g. Excel, Google Slides, etc.
  • Experience coordinating events and programs, including advertising and marketing, catering and room set up, etc.
  • Experience with budget management and departmental reconciliations, invoices, purchase orders, etc.
  • Ability to multi-task competing and time-sensitive priorities and a willingness to support colleagues across the division of the Social Justice Center.
  • Comfort with working independently and/or collaboratively in a collective.
  • Comfort with troubleshooting and problem solving.
  • A deep desire and commitment to personal ongoing learning and development.
  • Preferred experience and/or knowledge of higher education and current issues facing students, staff, and faculty from historically and institutionally marginalized communities.
  • Preferred experience with copyediting.


Grade of Position: A15E

Scheduled Weekly Hours: 36.25

Salary: $52,200.00
