Position Summary:
Job Summary
The Student Account Specialist I advises students and families in all matters related to their student financial accounts. This includes, but is not limited to, tuition and other charges, payment plans, loans, and institutional financial aid. The Student Account Specialist is also responsible for the billing and collection of all student revenue due to the university.

Specific Responsibilities
  • Answers incoming phone calls according to established schedule; responds to walk-in inquiries from students and families as needed.
  • Performs billing for all student accounts on behalf of the university; requires collaboration with various offices on campus and applicable external vendors.
  • Works closely with Office of Cross Cultural Programs to ensure timely and accurate billing of GO program costs; coordinates financial aid for off-campus study participants.
  • Adheres to established communications plan for new and returning students; collaborates with Senior Technical Specialist to ensure consistency in messaging.
  • Acts as module lead for Colleague AR and CR; includes troubleshooting, testing upgrades, disbursing financial aid to student accounts, maintaining system documentation, and training end-users as needed.
  • Oversees annual 1098-T process.
  • Provides assistance with prospective and upper-class student financial aid application process; includes recording receipt of application materials and working with families to complete files.
  • Reviews, posts, and reconciles all miscellaneous charges for student accounts; requires collaboration with other offices on campus.
  • Works closely with the AVP of Student Financial Services to provide various analyses related to student account receivables; prepares Billing Analysis; provides comparative data related to budget process; reports on other metrics as requested.
  • Reconciles EIIA student health insurance reports; ensures accurate billing of international and domestic student health plan charges.
  • Works with Student Financial Services team to maintain accurate procedure manuals.
  • Works with team members to ensure student accounts are resolved prior to the beginning of each semester.
  • Attends university events as needed; weekend or evening hours may be required.
  • Maintains a commitment to service excellence in all interactions on behalf of the university.

    Required Qualifications:
    Education and Experience
    Bachelor’s degree with one year of relevant experience OR Associates degrees with three years of relevant experience or high school diploma or equivalent with five years of relevant experience required.

    Knowledge, Skills, Abilities
    Knowledge and understanding of regulations related to student financial aid and student accounts receivable. Proven skills in Microsoft Office, including Excel, Word, and Outlook.
    Excellent verbal and written communications skills; ability to write clear, concise letters and emails; ability to effectively communicate with students and parents while maintaining patience, tact and professionalism. Must be able to calculate figures and amounts. Ability to organize and prioritize work assignments. Ability to handle confidential information in a professional and ethical manner. Ability to manage and process detailed information with frequent interruptions. Ability to analyze and interpret data and solve problems within established guidelines and policies. Ability to work evenings and weekends on occasion.
    Must be able to attend professional conferences in the field of student financial services.

    Physical Demand
    Remains in a stationary position for extended periods of time. Operates a computer, scanner, calculator, copier, fax machine and printer. Frequent communication with students and families who have inquiries about their tuition bill or financial aid package; must be able to exchange accurate information in these situations. Position requires the ability to occasionally lift up to 10 pounds. Position requires occasional interaction with students and families in group settings. Working conditions are indoor.

    Preferred Qualifications:
    Experience
    Experience in student financial aid or student accounts receivable is strongly preferred.
