Job Summary

The Administrative Assistant is a member of the Harvard Dance Center staff, under the auspices of the Office for the Arts (OFA). Located at the Dance Center, 66 Garden Street, Cambridge, MA 02139, this position serves as the primary introduction to the Dance Center offices for all students, faculty, staff, alumni, public visitors, and guests. The role requires a full-time presence in the office, interfacing daily with multiple constituencies via multiple mediums (in-person, email, and phone), assisting the current staff in liaising with colleagues at the OFA headquarters (74 Mt. Auburn St) and Theatre, Dance & Media as well as various Dance Center partners such as the Office for Gender Equity, BGLTQ Office, Harvard Foundation, Dean of Students Office, and Office for Diversity Education & Support, among others. The Administrative Assistant helps to ensure an efficient work environment and is responsible for a range of administrative duties?in support of?Dance Center initiatives.

Basic Qualifications

Two years + office or customer service experience required.

Additional Qualifications and Skills

Bachelor’s Degree preferred.

Strong attention to detail and organization.

Strong customer service skills and communication competencies.

Competency using a variety of computer software, including advanced knowledge of word processing, spreadsheets, and/or databases.

Ability to work independently with minimal supervision.

Must be able to handle confidential information with discretion.

Excels in a flexible, fast-paced office environment with natural ability to adapt tasks or daily priorities as needed or requested.

Patience, sense of humor and diplomacy preferred.

Demonstrated interest in the arts and education.

Position Description

FRONT DESK & SYSTEMS MONITOR:
  • Answer main department office phone and maintain digital correspondence for main Dance email contact

  • Fields general inquiries from students, faculty, staff, community and press via main department phone and email address

  • Welcome and receive visitors to the Dance Center, answering questions and inquiries about dance programming via the OFA as well as Theatre, Dance & Media (e.g. master classes, artist residencies, performances, curricular course projects, symposia)

  • Conduct Dance Center tours and info sessions

  • Assist with liaising operations between the Dance Center and OFA HQ staff, including IT personnel

  • Assist Communications and Programs Coordinator with promotional strategies and outreach to students and other constituencies (e.g. calendar postings, targeted emails, flyers, e-blasts, and social media)

OFFICE MANAGEMENT:
  • Administer scheduling of studio usage for student-run dance companies and ad-hoc individual reservations via RoomBook platform

  • Maintain central Dance Center schedule for all programming and activities

  • Manage office operations, including office organization, supply orders, office equipment maintenance and front door security scheduling for key card access

  • Monitor all physical spaces at the Dance Center and maintain up-to-date resources, signage, and photos

  • Retain up to date files and archives of administrative documents in main data base/server (registration, communications materials, Dance alumni, guest artist information, performance cast lists, etc.) as well as digital capture files

  • Assist with updating and maintaining internal office archival systems (physical and digital) and databases, including statistical data tracking and generation of semester and annual reports on programs and activities

  • Other administrative duties as assigned?

PERFORMANCES AND SPECIAL EVENTS:
  • Manage and coordinate front of house staff and logistics, ticketing, and VIP experience

  • Organize and track participation in workshops, master classes and an array of other administrative matters and special projects
