Job Description:

Under the direction of the Chairs of Fine Arts and Psychology, the Administrative Assistant is responsible for the coordination of overall office support functions of the Fine Arts Department and Psychology Department during the academic year, and will assist with office support functions in PAL over the summer months.  The Administrative Assistant for Fine Arts and Psychology and supports and assists full-time and part-time faculty in each of these areas in a variety of functions including administrative duties, evaluations, and customer service.  

Essential Functions:

1.Reception / Front Desk Functions:

  • Act as the main point of contact for Faculty, Staff and visitors of the Fine Arts and Psychology Department Offices during the academic year;
  • Respond to questions and requests for information for both on and off-campus persons via email, phone, mail, and fax. Refer non-routine inquiries to appropriate level;
  • Serve as a liaison to Students / Faculty requiring assistance.  Responsibilities may include, but are not limited to assisting with the course registration / add/drop process, accepting papers and or exams from students for faculty members;
  • Sort and process incoming correspondence to the appropriate Faculty mailboxes;
  • Hire and provide supervision of student workers in the Fine Arts and Psychology Departments;
  • Organize and maintain department filing system;
  • Maintain office files, copier machine, printers and other office equipment;
  • Order and inventory office and event supplies;
  • May also sign "Add/Drop" forms with instructor's permission. Assists students with course overrides and other forms as necessary. Email classes and hang signs about class room changes or class cancellations. Manages faculty mail. Assist PAL in communicating with instructors and forwarding exams to PAL or instructors as needed.

2. Administrative Support Functions:

  • Assists faculty members with classroom set-ups as requested.  Includes moving VCR's, CD players, art equipment, etc., into classrooms and back out again.  Stores equipment in storage closet in office when not in use;
  • Maintains Fine Arts equipment and Psychology equipment materials that includes submitting work order requests for repair of classroom equipment.  Arranges routine maintenance checks at the beginning of each semester.  Maintains inventory of CD's, flat prints, etc. in neat, orderly manner. Arranges for piano tuning;
  • Organize Fine Arts Field trips: assists in planning 10 -12 field trips per semester.  Arranges transportation, distributes sign-up sheets, coordinates staffing, keeps attendance;
  • Assists faculty members with administrative work, including typing and reproducing reports, exams, hand-outs, and any other requested clerical work. Provides general media and technology support to faculty. Collect electronic copies of all course syllabi and office hours each semester;
  • Schedules space for events, coordinates set-ups with B&G for events, assists faculty with details of function as directed. Print labels for various art shows;
  • Faculty evaluations: In accordance with the Curry-AAUP agreement, prints student evaluations of faculty in a timely manner, distributes summaries to faculty, keeps files;
  • Take and type minutes for Fine and Psychology department meetings. File and circulate minutes and documents;
  •  Ensures that student use computers are operational in the Cottage mini-  lab;
  • Private Music Instruction (PMI): Prints off names of Private Music Students after registration, send lists to PMI faculty, informs Registrar's Office of breakdown of students to the faculty, maintain spreadsheets of students and payroll information for the faculty, send spreadsheets to the Dean's Office to initiate pay for the faculty;
  • Provides administrative support coverage to the Program of Advancement Learning over the summer months (late May to Early August period).

3. Budget/Purchasing Responsibilities:  

  • Process all check requests, expense reports, and purchase orders, inputs receipts of orders from vendors. Follow-up on open purchase orders;
  • Monitor budget balance in Banner, and provide updates as requested.

4. Student Workers Oversight Responsibilities:

  • Recruit, interview, hire and schedule work study students and student workers as needed and approved (e.g. 4 to 6 students);
  • Coordinate, prioritize and assign tasks to student workers;
  • Monitor hours worked and ensure accuracy of hours worked in the College's electronic time keeping system;
  • Measure performance of student workers

Additional Functions: 

  • Respect and maintain confidentiality, parameters of operation, professional protocols, and individual privacy;
  • Perform other related duties as assigned by the Department Chair.



Minimum Qualifications:

  • Associates Degree Required.
  • A minimum of two to five years office administration experience.
  • Excellent interpersonal skills to effectively deal with a variety of individuals.
  • Demonstrable computing skills and efficiency utilizing complex computing applications on the systems and programs of College's choice; currently by way of example, Microsoft Office Suite.
  • Strong organizational skills, ability to follow-up, follow-through, multi-task, set priorities and adhere to deadlines.

Preferred Qualifications:

  • Bachelors Degree is desired.
  • Experience in a college setting with proven technical abilities across a variety or complex software systems, relational databases, and web-based programs. Banner a Plus.
