Job Description Summary

Reporting to the Assistant Vice President of Strategic Engagement and Development, the Assistant Director will strategize, coordinate, manage data and implement the following programs for the University to include: Phonathon, Direct Mail, Faculty-Staff Giving initiatives, Day of Giving, and other annual campaigns as determined. The Assistant Director will assess the success of all programs and campaigns with a focus on meeting all fundraising goals and will work with their supervisor to grow annual giving over time. The Assistant Director ensures all campaigns are implemented with a high level of professionalism and attention to detail, representing Chapman University in a positive light.

As a member of the University Advancement team, assist and support engagement activities to meet institutional goals. Supervise student assistants and student callers.

Responsibilities

PHONATHON PROGRAM MANAGEMENT
  • Develop strategies and implement yearly Phonathon program so team can achieve fundraising goals and increase renewal rates with existing donors.
  • Oversee the hiring of student supervisors and callers, the training of student fundraisers, constituent script development, data collection and loading, and calling timeline for constituent phone appeals. Provide leadership and presence during calling shifts.
  • Oversee the physical program including facilities, technology, budget, and program maintenance.
  • Act as liaison with outside providers in the implementation of program.

DIRECT MAIL PROGRAM MANAGEMENT
  • Oversee the complete implementation of the Direct Mail and Email Campaign for Parents, Alumni, faculty and staff, and University friends through highly segmented direct mail and email communications.
  • Oversee and work with campus partners and outside providers in the implementation of program to include marketing planning and management, and solicitation messaging.
  • Ensure all deadlines are met in the implementation of all projects.
FACULTY - STAFF GIVING PROGRAM MANAGEMENT
  • Oversee the implementation an overarching Faculty Staff Giving program to include planning, fundraising, marketing, committee support, and other activities instilling meaningful staff and faculty support for the University.
GIVING DAY PROGRAM MANAGEMENT
  • Oversee the CAMPUS - WIDE Giving Day Program to include planning, fundraising, marketing, committee support, and other activities that drive growing support for the University.
  • Act as liaison with outside providers and campus partners in the implementation of program. (Including event volunteers).
STRATEGIC BUDGET MANAGEMENT AND TECHNICAL OVERSIGHT
  • Develop and oversee annual budget for each individual program ensuring program revenues and expenses in line with departmental budget.
  • Develop, request, manage, and oversee cleanliness of data criteria and data pools for each individual program ensuring program revenues and expenses in line with departmental budget.
  • Prepare and provide reports to Chapman University Advancement Administration evaluating progress toward achievement of quarterly/annual goals. Analyze information to identify trends and patterns. Provide recommendations on strategy improvements.
  • Align communications with and between all programs.
PERFORMS OTHER DUTIES AS ASSIGNED

Required Qualifications
  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • Minimum of 3 years’ experience to include any and all of the following: successful fundraising, project management, staff/student supervision. Annual Campaigns a plus.
  • Demonstrated understanding of principles and practices of annual fundraising and its role in developing and executing strategic institutional advancement fundraising strategies.
  • Strong communication and interpersonal skills with the ability to interact and work with diverse individuals and groups at all organizational levels, both inside and outside of the University.
  • Demonstrated ability to communicate persuasively, both orally and in writing.
  • Strong writing and editing skills including the ability to prepare clear, concise, and grammatically correct business correspondence and other documents.
  • Strong organizational and management skills with proven ability in managing prospects, communication plans, special events, travel, and mailings.
  • Proven ability to plan, coordinate, and implement multiple projects simultaneously under tight deadlines.
  • Ability to work independently, take initiative, and exercise discretion and judgment.
  • Strong ability to evaluate data, assess alternatives and formulate logical and sound decisions and/or recommendations.
  • Ability to use tact and diplomacy and to maintain a high level of confidentiality.
  • Strong commitment to customer service and teamwork.
  • Computer skills in utilizing Word and other Microsoft Office software, the Internet, and electronic mail software.
  • Technical ability to learn and use Enterprise software and other data management systems.
  • Strong ability to pay attention to detail.

  • Familiarity with Chapman University.
