The Operations and Advancement team oversees a strategic selection of campus enterprises and responsibilities, including: Facilities Management and the campus physical plant, Auxiliary Services, Hispanic Serving Institution Initiatives, and the Denver-based Advancement team. This diverse portfolio allows our teams to imagine long-term partnerships; support a campus master planning initiative; establish new fundraising opportunities as long-term, drivers for new and evolving academic and student experiences; and message and share CSU Pueblo’s statewide engagement and impact to stakeholders in Denver and beyond. Our team's objective is to build and strengthen CSU Pueblo’s ten initiatives of Vision 2028, and support the campus ecosystem, as we work toward achieving the three wildly important goals of the university: elevating the appeal of campus, enhancing student success, and developing our people. Colorado State University Pueblo consists of over 1,575,000 square feet of maintainable building area and over 300 acres of campus space. The objective of Facilities Management is to provide a safe, clean, and sustainable environment that will enhance and support the mission and academic goals of the university.

Description of Job

This position is located within CSU Pueblo Facilities Management Department and exists to monitor financial activity within CSU Pueblo Facilities Management Department. The position analyzes accounting information and develop internal controls to summarize and report financial information in accordance with accounting principles, standards, statutes and regulations. The position accomplishes accounting functions related to Facilities Management, specifically billing campus departments for work orders; entering, verifying, and tracking data in the Kuali Financial System (KFS); data entry and review of employee hours and work orders into and extraction of data from TMA (Facilities Management Computerized Maintenance Management System); tracking, status updates, attaching corresponding invoices, and closing of work orders; function as systems administrator for TMA, including system monitoring, user and location set up, and report development. It also provides professional level administrative support, such as project coordination, and independent research and compilation. The position works closely with the Vice President of Operations and Advancement and AVP of Operations and Advancement, and reports to the Director of University Environmental Systems and Budgets. The position serves as a member of the Facilities Management leadership team and will regularly report out to the Director of University Field Operations and the Facilities Management Admin III/Office Manager.

Primary Duties

  • Ensures the work of Facilities Management at all times expands the appeal of campus, enhances student success, and develops our people. Enters, monitors, verifies, and tracks data in the Kuali Financial System (KFS) related to departmental billing. Coordinates with Business Financial Services for these duties.
  • Verifies employee hours associated with work orders, ensures corresponding invoices are linked to work orders, tracks the status of and ultimately closes work orders, and then bills campus departments for work performed. Completes accounting functions related to closed work orders.
  • Functions as system administrator for iServiceDesk/TMA. Troubleshoots system issues, adds/deletes users and/or campus locations as necessary, extracts statistical data, and develops reports.
  • Responds to telephone and email inquiries.

Minimum Qualifications

  • Bachelor’s degree from an accredited institution
  • Training in financial reporting and budget processes
  • Working knowledge of Microsoft Office programs and proficiency in Excel; ability to create, edit, and manipulate data
  • Knowledge/understanding of process workflows
  • Ability to quickly grasp and apply new skills and concepts
  • Exceptional interpersonal and customer service skills
  • Excellent verbal and written communication skills
  • Highly effective organizational skills
  • Accuracy and attention to detail
  • Strong self-motivation
  • Three years of experience in budgets, financial reporting, or facilities management operations
  • Accounting and financial reporting knowledge/experience

Preferred Qualifications

  • Bachelor’s degree or higher from an accredited institution in accounting, finance, database management, or related field
  • Knowledge of facilities management or physical plant operations
  • Strong solution oriented problem-solving skills
  • Ability to work with diverse groups of people, prioritize, and manage multiple projects and deadlines
  • Knowledge in database management (CMMS) and basic concepts in data analysis
  • Strong analytical and critical thinking skills
  • Five years of progressively responsible professional work experience in budgets, financial reporting, or facilities management operations
  • Experience in a university setting
