Program Support Supervisor 1 - Health Sciences



Description

Columbia Basin College (“CBC” or the “College”) seeks a Program Support Supervisor 1 to perform work using knowledge and experiences specific to the Health Sciences programs. This position will devise and implement new procedures and exercise independent judgment in interpreting and applying rules and regulations. The Program Support Supervisor 1 will independently advise students, staff, program participants and/or the public regarding program content, policies, procedures and activities also they will select/recommend alternative courses of action as needed. This position will have extensive involvement with students, staff, the public and/or agencies in carrying out program activities, coordinating, scheduling and monitoring program activities to determine consistency with program goals. This position reports to the Dean for Health Sciences.

Primary Responsibilities

Within all the specialized Health Science programs this position will:
  • Oversee the day-to-day operation of the program(s) and provide administrative support to the Health Science Division;
  • Establish work priorities and ensure deadlines are met;
  • Process payroll and prepare for signature of the Dean;
  • Track revenue and expenditures for continuing education courses that utilize course storm;
  • Provide information and assistance to the public seeking information on programs within the Health Sciences Division;
  • Monitor and reconcile budgets for the Health Sciences Division;
  • Organize, prepare and assist in scheduling quarterly classes and preparing the yearly schedule;
  • Provide front-line purchasing services to the Health Sciences Division;
  • Direct the preparation of reports; assist directors in preparing reports and document for accreditation reports and accreditation self-studies;
  • Update and maintain specialized database software to track students within the Health Sciences area;
  • Confer regularly with representatives of off-campus organizations and agencies regarding clinical-facility contract obligations as well as program and institutional policies;
  • Monitor program activities in relation to established program goals within established program parameters and determine variance from program standards;
  • Maintain on-line catalog for Health Sciences Division; monitor websites for needed changes and updates;
  • Use word processing, graphics, statistical, spreadsheet and/or data base software, as well as Gold Miner for student tracking and correspondence;
  • Prepare narrative and/or statistical reports regarding program operations and program specific accreditation;
  • Perform complex scheduling including independently prioritizing needs of program clients, program class scheduling, cross training to support payroll system in the absence of others;
  • Build and update the quarterly course schedules to interface with payroll and R25;
  • Review program handbooks to assure updated policies and information are present and relevant;
  • Direct the work of others;
  • Perform the duties of Program Coordinator; and
  • Other duties as assigned.
Required Qualifications
  • High school diploma or equivalent; and
  • Three (3) years of experience working in health sciences programs.
OR
  • Equivalent education/experience.
AND
  • Proficient knowledge of Microsoft Office software programs.

TERMS OF EMPLOYMENT:

This position is a twelve-month (12), full-time, overtime-eligible, represented, classified staff position. The typical work hours for this position are Monday through Thursday from 7:00 a.m. to 4:30 p.m. and Friday from 7:00 a.m. to 12:00 p.m., however; must be available to work a flexible schedule when prior notice is given by the College. This position is available immediately.

PHYSICAL DEMANDS:

While performing the duties of this position, the employee is frequently required to sit, stand, bend, kneel, stoop, communicate, reach and manipulate objects. The position requires mobility including having the ability to move materials on a regular basis such as files, books, office equipment, etc. Manual dexterity and coordination are required to operate equipment such as computer keyboard, calculator, and standard office equipment.

WORKING CONDITIONS/WORK ENVIRONMENT:


Usual office working conditions. The noise level in the work area is typical of most office environments with telephones, personal interruptions, and background noises.
