The Director of Accounts Payable demonstrates initiative, use of professional judgment and leadership. Under the general direction of the Assistant Vice President & Controller, the Director oversees the day-to-day operations of the Accounts Payable (AP) department, which includes purchase order invoice processing and non-purchase order payments. The Director leads a team of specialists who are responsible for various accounting and reporting processes.

MAJOR RESPONSIBILITIES:
  • Directs AP, which includes the purchase order invoice processing function; the direct non-purchase order processing function; the pay cycle disbursement function.
  • Develops, implements, and maintains systems, procedures and policies related to the AP functions described above, ensuring adherence to university policies and procedures.
  • Ensures that proper information is maintained for historical purposes.
  • Work collaboratively with the Office of Contracting & Procurement.
  • Respond to inquiries with external auditors as well as with all levels of University staff.
  • Works in conjunction with Procurement to ensure the vendor file is complete and up to date.
  • Oversees AP operations including the implementation of system solutions, supervising staff members, and managing the processing of vendor invoices and related payments per Rowan policies. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; addressing and resolving conflicts.
  • Must demonstrate a high degree of customer service to meet the goals of the University.
  • Responsible for required ad hoc reporting.
  • Timely and accurate processing of vendor invoices.
  • Resolve all discrepancies and issues with vendors.
  • Monitor the invoice processing activities, and proactively manage any issues impacting the accuracy or timeliness of vendor payments.
  • Develops, implements, and maintains systems, procedures, and policies, including accounts payable functions to ensure adherence to Rowan guidelines.
  • Ensures that all documentation (process flows, policies, procedures, control documentation, etc.) are accurate, complete and up to date.
  • Manages closing of AP and posting of year-end information to ensure the accuracy of financial statements.
  • Responsible for the creation and implementation of necessary policies, processes, procedures and financial controls that report and preserve the integrity and accuracy of the University’s financial data.
  • Responsible for Clincard, gift card software.
  • Responsible for Concur, the travel and expense software.
  • The timely and accurate disbursement of funds either by check or direct deposit from Rowan University and its component units.
  • Responsible for reporting disbursement information to the bank for positive pay and managing fraud controls.
  • Responsible for the accurate and timely filing of all annual IRS 1099s as well as managing other associated tax information.
  • The timely and accurate review of invoices, travel requests and expense vouchers.
  • Reviewing and preparing the posting of on-campus catering.
  • Ensure compliance with federal and state regulations governing AP payments.
  • Works collegiately with associates, vendors, and other management personnel to resolve open issues.
QUALIFICATIONS:
  • Bachelor’s Degree, with business or accounting background preferred. Accounting designation preferred, but not required.
  • Five (5) years of related experience.
  • Higher education and/or not-for-profit accounting experience preferred.
  • Intermediate to advanced proficiency in Microsoft Excel.
  • Experience with Banner and Concur preferred.
  • Ability to effectively solve problems.
  • Ability to multi-task, shift gears quickly, work independently and collaboratively.
  • Ability to meet deadlines while paying attention to details.
  • Excellent interpersonal skills and ability to interact effectively and professionally with others.
  • Team oriented and ability to thrive in a fast-paced environment.
  • Strong organizational skills and the ability to prioritize workload and delegate to team members.
  • Possess effective written and verbal communication skills.
  • Must be a collaborative team player with a strong desire for continuously making improvements.
SALARY:
  • Commensurate with experience.
