Assistant Director – Advisement (Student Services Professional 3 – MR11 )

The Assistant Director is responsible for supervising the first-year freshman advisors and managing the daily advising functions in the Center for Academic Support and Advisement. The advising team is responsible for advising freshmen and undecided students with a focus on student success.

Duties and Responsibilities

Leadership and Performance Management

Oversee daily operations of the advising unit including student reception, walk-in schedule coverage, caseload assignments, and maintaining an uniform advising timeline; on-board new advisors while providing training material and resources; coordinate, develop, and provide on-going training and support to all department advising staff; assign job duties and supervise the advising staff in the completion of job responsibilities; assist with developing and monitoring advising interventions and programs to address factors that influence retention, progression, and degree completion; lead advising outreach campaigns in the department using the EAB Navigate tool and compile results to share with the Director; address complaints about the advising process and/or specific advisors; and complete annual performance evaluations for first year advisors.

Advising and Advisor Support

Serve as back up for the advising staff in covering student appointments and walk-in hours; meet with and mentor advisors regularly; assist advising staff and students in resolving complex problems; lead the campus-wide freshmen and transfer new student preregistration process (AIQ) associated with New Student Orientation; and provide academic advising to a caseload of freshmen and/or undecided students.

Representation

Collaborate with other administrative and academic departments as needed to improve advising process and services; function as an expert on advising-related inquiries; serve on university committees as needed; and serve on Advisors’ Council Committees as appropriate.

Budgeting and Fiscal Management

Serve as substitute for entry and approval in IRIS (SAP) in the absence of the Director or Administrative Assistant.

Special Projects and Other Duties

Teach USTU 1300 as needed; and other duties as assigned.

The ideal candidate will possess the following:
  • Excellent professional oral, written, and interpersonal communication skills
  • Strong problem-solving and critical thinking skills
  • Ability to explain complex university policies and procedures to diverse population
  • Strong organizational and time management skills
  • Ability to multi task and display a high degree of accuracy
  • Ability to generate reports, compile information, and analyze results
  • Establish and maintain working relations with diverse constituencies
  • Strong technical skills including being computer literate and knowledge of relevant software programs, such as Microsoft Office, Banner, Degree Works, SSC Campus, or other related student service systems

Minimum Qualifications: Master’s degree in Advising, Counseling, Higher Education Administration, or a related field; and three years of professional academic advising experience in higher education.

Preferred Qualifications: Prior supervisory and training experience; and knowledge of student development and academic advising theories.
