The Opportunity:

Embry-Riddle Aeronautical University’s Prescott, Arizona campus is hiring an Administrative Assistant to support the Flight Department. Embry-Riddle's Prescott Campus is respected worldwide for cutting-edge instruction and training for tomorrow’s aviation, aerospace, security, and intelligence leaders. Prescott is a mile-high city and its climate reflects seasonable weather excellent for flying. Daytime averages are 80°F in the summer and 45°F in the winter. At 5,000 ft. above sea level, it boasts a mild climate, clean air, pristine wilderness areas, and nearby national forests. The university is a small, private, residential university in the mountains of Arizona with approximately 3,500 students. Staff/faculty/student interaction is highly valued and is a central theme of our campus. It is located 100 miles north of Phoenix and 120 miles south of the Grand Canyon.

Job Summary:

The Administrative Assistant is responsible for coordinating the hiring of and maintaining FAA compliance of Flight Instructors in the Flight Department. The assistant coordinates interviews, hiring processes with Human Resources, and New Hire Instructor training classes as part of this process. Additionally, the Administrative Assistant is responsible for weekly payroll, as well as the coordination of pay changes for instructors with Human Resources.

Job Duties:
  • Manage Flight Instructor FAA Records

  • Schedule interviews of potential new Flight Instructors

  • Coordinate onboarding/off boarding processes for new flight instructors with Human Resources

  • Coordinate internal student programs to become instructors

  • Manage Flight Instructor FAA compliance

  • Coordinate weekly instructor payroll with Human Recourses

  • Assisting other administrative duties as required by the department

  • Assisting in the onboarding processes of students during the Fall/Spring Semesters

  • Track compliance with instructor term of service contracts

  • Other job duties as assigned

Qualifications
  • High school (or GED) level ability in spelling, grammar, basic composition, and math.

  • Read and comprehend instructions, write information, and complete simple forms.

  • 1-3 years’ experience in Microsoft Office – Word, Excel, & PowerPoint (Required)

  • 6 months’ experience with Microsoft Forms (Required)

  • 1-3 years’ experience with Microsoft Access (Preferred)

Required skills, knowledge, abilities:

Ability to assist Flight Instructors and flight students with their needs and/or direct them to the appropriate person or place.
