Position Summary:

The Student Accounts Specialist plays a critical role in the Student Financial Services office and helps to shape the student experience at the University of Puget Sound. The position serves as a first point of contact between students and their families regarding student accounts receivables, account payment plans and financial aid status. The position performs successful account collections and follow up for current and past due student account balances through telephone and virtual conversations and through written correspondence, while maintaining goodwill. The position processes disbursements of financial aid credit balances to students in accordance with regulatory compliance rules.

The SA Specialist must demonstrate exemplary customer service skills, have, or quickly develop, a firm understanding of the policies/ procedures in relation to student accounts and financial aid awarding rules, accurately process funds received on behalf of the university, and maintain highest level of understanding of complex data in order to provide precise and accurate information to constituents. The SA Specialist serves as primary back up support to the SFS Specialist during peak business periods. Through these responsibilities and the services provided, the SA Specialist supports the University's retention and recruitment goals and helps the SFS department ensure success of broader institutional strategic initiatives.

Essential Job Functions and Responsibilities:

1. Accounts Receivable Collections (40%)
    Works closely with SFS Specialist to deliver exceptional frontline customer service Analyze account activity of students within assigned caseload to assist with AR collection efforts for currently enrolled students and former students that maintain a past due balance. Evaluate communication and outreach action for students that carry an unpaid balance with the college or are behind on a monthly payment plan. Advise current students/families and former students on viable payment options to settle their past due balance. Make and monitor payment arrangements made to satisfy outstanding accounts. Write off small balances (<$50) on accounts for those who have left or graduated

2. Daily Banking Reconciliation (20%)
    Reconcile third party ePayment totals to daily banking totals Adjust student accounts for NSF and failed ePayments and follows up with families to resubmit payment Process same day payment cancellation requests from families submitting payments in error Ensure daily cashiering is processed with accuracy to the General Ledger for SFS, Dining Services, Finance and Bookstore.

3. Manage the refund of credit balances to students and families to ensure the refund is accurately calculated and processed in a timely manner. (20%)
    Graduate Student refunds, parent PLUS Loan refunds, and refunds to undergraduate students Refund all financial aid credit balances back to families at the end of each academic year Contact graduated students with small credit balances for possible donation to the university

4. Reviews A/R transactions processed by the student information system that post to the General Ledger. (10%)
    Reviews automated file loads of student AR transactions and manual transactions to the general ledger. Ensures accuracy of charges and adjustments to student accounts as a result of enrollment changes Notifies families of updated account balance information resulting from transactions occurring after initial semester billing period (e.g. adjusted enrollment and/or added meal plans)

5. Perkins Loan Program Repayment Support (10%)
    Assist with processing of loan payments, AmeriCorps Forbearances, and cancellation and/or deferment requests received at Puget Sound in the third party loan management system. Provide reminders to students who have not completed Perkins Exit Loan Counseling (monthly), contact past due borrowers 60, 90, 120 days past due to get loans back in good standing

6. Performs other duties as assigned

Qualifications:
    Associate's degree, preferably with an emphasis business management, or equivalent combination of education and work experience. Minimum of one year of work experience in accounting, business management, customer service, or a related field and demonstration of increasing levels of responsibility. Experience in higher education accounts receivable desired. Personal computing competencies to include networks, Internet, Microsoft Word, Excel, email. A commitment to liberal arts education and cultural diversity required Demonstrated ability to work and communicate successfully within a diverse campus community. Must demonstrate excellent organizational, analytical, written and verbal communication skills, maintain confidentiality, composure, and positive working relationships. . Ability to respectfully work, communicate and provide leadership within a diverse campuse community

Compensation and Benefits: The range for this position is between $18.00 per hour and $19.23 per hour. Final salary determination is made at the final stage of the hiring process and is based on the candidate's experience, internal equity and market considerations.
