Provide complex administrative and project support to the Administrator, Sr. Director of Nursing and Director of Finance. Responsibilities require significant collaboration and coordination with operations managers, ambulatory clinic leads and other mid-level management related to Ambulatory Services operations issues.

Specific Duties & Responsibilities:

Provides administrative support to the Ambulatory Services Administrator, Sr. Director of Nursing and the Director of Finance for correspondence, meeting scheduling, travel arrangements and reimbursements.

Coordinates and implements office services such as purchasing, personnel records control and operations projects.

Provides administrative support for document typing and proof reading.

Independently develop and manage complex and key administrative projects (databases, reports, office workflows, records control, course material)

Identify and resolve administrative problems and issues.

Schedule and staff monthly standing meetings. Prepare meeting materials (e.g., draft agenda, collect relevant information). Record, draft and distribute minutes. Monitor and follow-up on action items.

Locates and compiles information and data to format reports, graphs, tables, etc., for presentations and reports.

Communicates policies and major announcements, including lectures, meetings, seminars.

Function as Forms on Demand Administrator – uploading forms, adding printers and updating kits.

Is a departmental resource for non-routine information for individuals external to the department; answers questions and provides guidance.

Operates personal computer to access email, electronic calendars and other office support software.

Uses various software applications, such as word processing, spreadsheets, relational databases, SAP, and graphic packages to assemble, manipulate and/ or format data and reports.

Scope of Responsibility:

Knows the formal and informal departmental goals, standards, policies and procedures which may include some familiarity of other departments within the school/JHH. Is sensitive to the interrelationship of both people and functions within the department.

Decision Making:

On a regular and continuous basis, exercises administrative judgment and assumes responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the functional area. Ability to make independent decisions within the department’s scope of interest.

Authority:

May oversee or coordinate the work of others as assigned.

Communication:

Exchanges non-routine information using tact and persuasion as appropriate, requiring excellent oral and written communication skills.

Minimum Qualifications (Mandatory):

High School Diploma/GED

Five (5) years of progressively responsible administrative experience.

Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula..

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

Excellent typing and accuracy skills.

Proficiency with personal computers.

Demonstrates proficiency in Windows, MS Word, Excel, PowerPoint, and other graphics and spreadsheet software programs.

Proficient transcription skills.

Demonstrated flexibility.

Excellent customer service skills.
