Position Title Assistant Director for TRAIL (Mines' CLR) The Opportunity

The Office of Undergraduate Studies (OUS) invites applicants for the position of Assistant Director of Transformative Record of Applied Integrated Learning (TRAIL). TRAIL is a campus-wide innovative framework that is moving from concept to design and implementation in order to help map, guide, and capture the comprehensive learning experiences of Mines students. TRAIL will serve as Mines’ collective effort to synergize Experiential Major Maps (EMM) and a Comprehensive Learner Record (CLR). You will work closely with campus constituents to implement, advance, and institutionalize TRAIL. More specifically, the Assistant Director will work with the Registrars to manage the comprehensive learning record. Additionally, the Assistant Director will work with Student Life and Academic Affairs to align identified framework priorities and to promote and institutionalize TRAIL.

By establishing TRAIL, The Assistant Director of TRAIL should have experience with co-curricular records (CCR) and/or CLR, records retention, software systems, program integration across multiple platforms, metrics tracking, student utilization rates/promotion, and verification of data accuracy. 


Development, Implementation, & Management (35%)
  • Share a strong vision for TRAIL and lead the development and management of the EMM and CLR.
  • Develop an overarching framework that is aligned with the EMM/CLR vision and Mines’ goals for students.
  • Support and advance identified signature experiences and opportunities at Mines.
  • Guide and direct action items related to successful rollout of TRAIL on-campus, to include prioritization of tasks in the workflow.
  • Oversee deployment of TRAIL across campus, working closely with (but not limited to) the following departments: Registrar, Student Life Division (e.g., Career Services, CASA, SAIL, etc.), International Students and Scholars Services, Academic Departments, Office of Institutional Research, Office of Information Technology Services, Admissions, Project and Change Management Office
  • Maintain a synergetic connection between EMMs for different degree programs and CLRs awarded to students.
  • Ongoing management, refinement, and improvement of TRAIL including software, constituents’ relations, introduction of new modules/experiences, and staff (pending).
Promotion and Advancement (20%)
  • Partner with the Office of Admissions to showcase how TRAIL empowers students to share the whole story of their skills and achievements. Collaborates with Admissions to use EMMs as marketing tools for prospective students. 
  • Promote use and benefit of TRAIL to current students via faculty, information events, advisors, etc.
  • Advance TRAIL utilization and buy-in by way of efficacious outreach efforts, meaningful impact reports, alignment with Foundation, and partnership with students.
Constituent Relationships (20%)
  • Meet with faculty, staff, and students to identify opportunities that should be included on the EMM and CLR, and work with stakeholders to submit appropriate information.
  • Promote TRAIL to students, faculty, staff, community, and industry partners to increase the number, quality, and diversity of achievements captured on the CLR and provide necessary training on its use.
  • Liaison with Department Heads and Program Directors to create EMMs for undergraduate degrees at Mines.
  • Liaison with the Center for Academic Services and Advising (CASA) to market EMMs as an advising tool for current degree-seeking students at Mines. 
Assessment (20%)
  • Collect feedback from faculty, staff, students, and employers to understand and integrate other activities that would benefit the meaningful number, quality, and diversity of achievements captured within TRAIL.
  • Identify and implement enhancements based on this feedback, including potential new features.
  • Once established, create annual impact and assessment reports, continual expansion and refinement of the processes.
  • Troubleshoot any areas in need of improvement, identify weaknesses and areas data can be cleaned or better utilized.
  • Monitor, evaluate, and pivot activities to facilitate TRAIL adoption.
  • Track usage rates (requests/downloads) from launch forward.
  • Once established budget and contract management with external vendors.
  • Facilitate and support OUS related efforts and trainings.
  • Perform additional related duties as assigned.

Minimum Qualifications
  • Bachelor's degree
  • 5 years of professional experience leading complex initiatives, programs, or services in education
  • 3 years of experience with cocurricular records, comprehensive learner records, interdisciplinary education programs, developmental education programs, or curriculum development.
  • Experience working with external vendors and acting as the liaison to understand stakeholder needs and work with vendor to make enhancements.
  • Practical and conceptual knowledge of computer-based applications utilizing database management, spreadsheets, word processing, and electronic mail. Ability to identify ways to utilize technology to streamline processes and procedures.
  • Strong Interpersonal, written and verbal communication skills: demonstrated experience communicating effectively in person, on the telephone, and in writing, with a diverse population of people at all levels inside and outside of the university system.
  • Demonstrated judgement and decision-making abilities. Ability to think critically, identify problems, and make decisions based on feedback, data, and other information.
Preferred Qualifications
  • Graduate Degree in relevant field (e.g., Business or Data Analytics, Project Management, Interdisciplinary Studies, Communications, Education, or Education-Related Discipline, etc.).
  • STEM or Higher-Education Professional Work Experience.
  • Professional Supervision Experience.
  • Prior professional coordination and management of collaborative complex systems/projects or databases. Any database-relevant verification of skills.
  • Understanding of comprehensive learner records
  • Understanding of university systems, offices, processes, and procedures.
  • Experience working in a large, complex, multi-disciplinary academic environment.
  • Understanding of FERPA rules and regulations.
  • Experience evaluating effectiveness and relevance of categorical data in relation to the job market.
  • Strong ability to establish and maintain cooperative relationships with campus departments and external agencies.
  • Knowledge of common University-specific computer application programs and productivity software.

Pay Range

$80,000 - $95,000

Mines takes into consideration a combination of candidate’s education, training and experience as well as the position’s scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.
